About the Role

Le Méridien Hotels & Resorts is seeking an Executive Assistant to provide comprehensive administrative support to the General Manager and the broader management team. This full-time position is based in Al Khobar, Eastern region, and is suitable for candidates with 0-1 years of experience who are looking to contribute to a professional hospitality environment.

Key Responsibilities

The Executive Assistant will be responsible for a range of administrative duties, ensuring efficient operation and support for the General Manager and department heads. Core responsibilities include:

  • Organizing, composing, and distributing correspondence to both employees and guests.
  • Managing initial responses and follow-ups to inquiries, and collecting and tracking problem resolution information.
  • Providing administrative support to managers and departments, including creating and maintaining files.
  • Acting as a receptionist for the General Manager and other department members as needed, assisting callers.
  • Sorting and distributing incoming mail.

Documentation and Reporting Support

This role involves significant support in documentation and reporting, ensuring accurate and timely information flow. Specific duties include:

  • Assisting managers in the preparation of various reports and presentations.
  • Supporting the design and preparation of statistical reports as required.
  • Attending, transcribing, and distributing minutes for staff, executive committee, and department meetings.
  • Maintaining giveaway/donation files and assisting with reservations.

Operational and Customer Service Support

The Executive Assistant plays a role in ensuring high standards of customer service and operational efficiency. This includes:

  • Ensuring VIP amenity requests from the General Manager and Director of Operations are handled promptly.
  • Providing service that aims for customer satisfaction and retention.
  • Contributing to day-to-day operations to maintain quality standards and meet customer expectations.
  • Communicating with executives and peers to identify opportunities for service quality improvement.

General Administrative Duties

Beyond core support, the role encompasses broader administrative functions:

  • Signing for managers and releasing documents with specific permission.
  • Communicating safety procedures, detailing codes, and monitoring related processes to ensure employee understanding.
  • Analyzing information and evaluating results to support problem-solving and decision-making.
  • Attending meetings to assist in planning, organizing, prioritizing, coordinating, and managing activities.
  • Collaborating with colleagues to gather necessary information for project management, goal achievement, and issue resolution.
  • Informing and updating executives and peers on relevant information in a timely manner.
