Job Summary:
The Executive Assistant will report directly to the RSA Jeddah Site Executive, supporting a diverse team in the Program Management Office and Functional Support Teams. Responsibilities include coordinating site activities, managing travel and expenses, and ensuring smooth operational processes.

Key Responsibilities:
  • Manage calendars and prioritize schedules effectively.
  • Coordinate travel arrangements and process expense reports.
  • Arrange meetings, including conference rooms and necessary services.
  • Compile documentation including reports and meeting minutes.
  • Assist in onboarding and offboarding activities for employees.
  • Improve administrative processes within the team.
  • Maintain professional relationships with staff and leadership.

Qualifications You Must Have:
  • AA/AS degree or equivalent with a minimum of 3 years of relevant experience.
  • Experience in administrative or office support roles.
  • Proficiency in Microsoft Office applications.
  • Strong bilingual communication skills in English and Arabic.

Travel Requirements:
Limited domestic and international travel may be required (approximately 4 times per year).

Key Responsibilities:
  • Research & Analytical Support:
    • Conduct targeted research on administrative, operational, developmental, and sector-specific topics relevant to the Pilgrim Services ecosystem.
    • Analyze reports, studies, and stakeholder documents and extract key insights for executive decision-making.
    • Prepare bilingual executive briefs supporting strategic projects and partnerships.
    • Gather information from government entities, sector reports, consulting references, and competitors relevant to Qiyam’s service offerings.
  • Content & Document Development:
    • Develop high-quality PowerPoint presentations aligned with Qiyam’s brand, values, and consulting standards.
    • Prepare structured documents, policies, procedures, and frameworks supporting strategic and operational initiatives.
    • Edit, proofread, and refine content to ensure clarity, professionalism, and alignment with Qiyam’s methodologies.
    • Provide accurate Arabic-English translation for documents, proposals, and communications.
  • Information & Communication Management:
    • Consolidate input from internal teams to create weekly, monthly, and project-specific reports.
