About the Facility Security Receptionist Role

Eram Talent is seeking a Facility Security Receptionist for their client's operations in Al Khobar, Eastern Province. This full-time position serves as the primary point of contact for visitors and staff, managing reception activities and ensuring smooth facility operations. The role requires an individual to be professional, organized, and adept at handling administrative and security-related tasks.

Core Responsibilities

The Facility Security Receptionist will be responsible for a range of duties to support the facility management team and ensure a welcoming and secure environment. Key responsibilities include:

  • Greeting and welcoming visitors in a professional and courteous manner.
  • Answering, screening, and directing incoming telephone calls to the appropriate personnel or departments.
  • Maintaining the reception area to ensure it is neat, organized, and presentable at all times.
  • Scheduling and coordinating appointments, meetings, and conference room bookings.
  • Providing administrative support, including filing, data entry, and document preparation.
  • Managing incoming and outgoing mail and packages.
  • Monitoring and replenishing office supplies, placing orders as needed.
  • Providing information to callers and visitors about the organization and its services.
  • Enforcing security and access control procedures, including issuing visitor badges.
  • Assisting with special projects and tasks assigned by office management.
  • Collaborating with other administrative staff to ensure efficient office operations.
  • Managing and coordinating travel arrangements for employees, such as booking flights, hotels, and transportation.
  • Assisting with event planning and coordination for meetings and conferences.
  • Updating and maintaining internal databases and records with accuracy and confidentiality.
  • Providing basic IT support, troubleshooting minor technical issues, or liaising with IT support.
  • Coordinating the maintenance of office equipment, including printers and copiers.
  • Assisting with the onboarding process for new employees.
  • Liaising with vendors and service providers to ensure timely service delivery.
  • Coordinating with building maintenance staff for facility-related issues.
  • Ensuring the timely and accurate preparation of all relative reports according to departmental requirements and standards.

Qualifications and Experience

Candidates for this role should possess the following qualifications:

  • A Bachelor's degree in Business Administration from a recognized university.
  • Proficiency in both oral and written English.
  • 0-1 years of experience in a similar reception or administrative role.
  • Proven experience managing a front desk reception area.
