About Air Arabia

Air Arabia is seeking a Coordinator Flight Operations to join its team in Dammam, Eastern Region. This full-time position supports the efficient functioning of flight operations within the company.

Role Overview

The Coordinator Flight Operations serves as a central point of contact between Flight Operations and various internal and external parties. The primary objective is to ensure the legality and readiness of pilots by providing comprehensive administrative support on a daily basis. This role is crucial for maintaining a smooth workflow, fostering effective internal communication, and ensuring strict compliance with Air Arabia policies, standards, and relevant civil aviation regulations concerning licenses, trainings, and medical checks.

Key Responsibilities

  • Facilitate pilots' daily operational work and manage the continuous renewal of licenses and passes to ensure adherence to Air Arabia policies and GACA/civil aviation regulations.
  • Provide support for aero-medical check-up formalities, including arranging initial medical appointments and necessary documentation for new recruits. Track medical expiry dates, proactively plan, and coordinate with designated clinics for medical card renewals.
  • Audit, verify, and follow up on medical invoices to ensure compatibility with contract terms and conditions and the certificates issued to pilots.
  • Update the Cesar System and AeroLine System with essential data, expiry dates, and validations for licenses, medical cards, and other documents as required by GACA/civil aviation authority for audit purposes.
  • Maintain an accurate and up-to-date database of all function-related records, such as documents, licenses, appreciation letters, rosters, warnings, and various reports (*, Captains’ Reports and “Discretion Reports”).
  • Generate regular and ad-hoc communications and notices for pilots as instructed by the Chief Pilot or Head of Flight Operations, including Notices to Pilots and Joint Notices to pilots and cabin crew.
  • Communicate and follow up with GACA/respective civil aviation authority to facilitate temporary validations, Air Law Exams, and Licenses, coordinating with pilots for required information and documents.
  • Coordinate with the Crew Planning & Control teams to ensure on-time training for pilots.
  • Manage function purchases and expense claims, including uniforms, stationery, and business cards, as instructed and within the agreed budget. Process requests on the system and coordinate with Finance for timely settlement of all function-related invoices.
  • Prepare study materials for new recruits and the necessary documents for PPC/Line Checks/Command Upgrades, among other requirements.

Qualifications and Experience

Candidates for this role should possess 0-1 years of relevant experience. The ability to manage administrative tasks efficiently and ensure compliance with aviation regulations is essential.

Work Environment

This is a full-time position based in Dammam, Saudi Arabia, operating within a dynamic aviation environment.
