Job Description
Tasks and Responsibilities: Key Tasks and Responsibilities:
Daily Tasks:
Follow up on the specialist's attendance for the service and the start time according to the schedule on time.
Follow up on the attendance, absence, and permission of specialists and coordinate with the rest of the team.
Follow up on the staff's commitment to the approved uniform and take the necessary action for violators in coordination with human resources.
Receive inquiries from parents by phone or interview through the communication form.
Receive inquiries from all specialists and set a specific time that does not conflict with the schedule's progress.
Overcome difficulties within sessions and find solutions to support and assist specialists.
Follow up on the performance of specialists and their commitment to the required tasks.
Follow up on the performance of beneficiaries and the suitability of the training level for them, without conflicting with their program in the relevant department, according to reports issued by Rehaddox.
Follow up on the progress of the schedule for clinical services (two sessions per week for each beneficiary – session duration 30 minutes).
Ensure the program is running smoothly, objectives are being met, and appropriate tools are being used.
Notify specialists of the scheduled parent visit and coordinate the visit according to the beneficiary's schedule.
Follow up on writing home training in the follow-up records and assign home training to beneficiaries on the Rehaddox system.
Follow up on specialists booking and conducting training sessions on the Rehaddox system according to the beneficiary's pre-assigned schedule.
Follow up on entering daily safety follow-up sessions related to the administrative plan.
Follow up on commitment to training in independent skills
Weekly Tasks:
Complete the technical supervision requirements on Google Drive and ensure they are uploaded according to the technical guides and approved forms.
Follow up on the conditions for completing training sessions and the number of areas and objectives approved for implementation in the training session.
Receive papers required for specialists to be photographed, send them to the responsible person, and follow up on their delivery.
Inventory the department's needs for maintenance, tools, and purchase requests, and submit them to the responsible person.
Prepare the schedule for supervisory visits and evaluate the job performance of specialists.
Prepare the external visit log for the department and the visiting parent's file, documenting it with approved forms.
Prepare and update support service schedules with the names of all beneficiaries enrolled in the service.
Update beneficiary files within clinical programs and services.
Review plans, follow up on the training program's progress, and discuss challenges.
Follow up on filling out attendance records for beneficiaries in all rehabilitation services and programs and complete the session count record with the classes.
Follow up on filling out the operational plans for the clinics and ensuring their completeness.
Schedule visits for a random and varied sample to ensure the suitability of training plans.
Ensure appropriate reinforcement methods are used during training sessions.
Follow up on the training of new specialists and update training tasks according to their training plan.
Communicate with supervisors of all departments to follow up on workflow, overcome difficulties, and note observations.
Follow up on the completion of quarterly reports (mid-term and final) to be delivered to the departments on time and not delayed in preparation for sending them to parents.
Notify specialists of outpatient clinic appointments, receive their reports, review them, and then send them to the supervisor.
Follow up on entering training environment follow-up sessions related to the administrative plan.
Commit to following up and closing any requirement in the branch's follow-up file for rehabilitation programs and clinical services.
Commit to closing all items on the branch's evaluation form for rehabilitation programs and clinical services.
Commit to holding an internal case conference within the branch for cases that require it.
Commit to any task or requirement from central supervision.
Quarterly Tasks:
Ensure classrooms are ready (materials, furniture, corners, cards, visual aids... and other requirements) and submit needs to supervisors.
Prepare a statement on the employment status in the department and the actual needs, and send it to human resources.
Hand over equipment and tools to specialists and have them sign for receipt of the equipment.
Follow up on inventorying the department's needs for maintenance or tools and submit them to the supervisor.
Ensure all beneficiaries are included in the rehabilitation program and its clinical services, and periodically review enrolled and withdrawn individuals.
Complete the Rehaddox system requirements for each service (booking and closing services - activating and closing plans - distribution - groups).
Receive registered cases to begin the assessment process, determine the level, and provide the department's specialists with the results.
Prepare, follow up on, and update support service schedules, provide them to relevant parties, and address and correct potential conflicts.
Follow up on beneficiary assessments and the smooth progress of the assessment process.
Create a training plan for specialists based on their training needs.
Support and recognize outstanding specialists and implement the 'Specialist of the Month' program according to clear criteria.
Follow up on the visiting parent schedule based on priority and coordinate with department supervisors to organize visits.
Evaluate the job performance of all specialists.
Evaluate specialists during their probation period and report the results to the relevant authorities.
Receive beneficiary files for rehabilitation programs and services at the end of the semester from all specialists for all beneficiaries.

Proficiency in using Microsoft Office tools and programs.
