About the Role
Dedienne Aerospace is seeking a highly organized and proactive Administration/Accounting/Logistics Executive to join its team in Makkah, specifically covering operations in Jeddah and Makkah. This full-time role is integral to supporting daily operations, ensuring smooth logistics and administrative processes, and managing office tasks. The Executive will report directly to the Customer Services Manager and Finance Manager, operating as a key member of the Administrative & Logistics team. The position requires 2-5 years of relevant experience.
Key Responsibilities
- Plan, coordinate, and monitor inbound and outbound logistics operations.
- Ensure timely and accurate submission of documentation for shipping, customs clearance, and inventory records.
- Prepare goods in accordance with Dedienne Aerospace packaging standards.
- Liaise with suppliers and logistic providers to ensure timely shipments and resolve logistics issues.
- Utilize ERP software for managing goods receipt, tracking logistics activities, updating records, and generating reports.
- Maintain accurate and up-to-date records of shipments, supplier transactions, and logistics operations.
- Provide general administrative and clerical support to various departments, including engineering, procurement, and logistics teams.
- Handle internal and external communication, including emails and phone calls, and maintain accurate filing systems.
- Process purchase orders and assist in preparing monthly expense reports.
- Support HR and Finance teams with documentation, data entry, record-keeping, and compliance tasks.
- Assist with audits by maintaining accurate documentation and supporting regulatory requirements.
- Monitor and manage office supplies, ensuring cost-effectiveness and timely reordering.
- Coordinate with internal departments to understand needs and provide timely solutions.
- Support the maintenance and updating of company records across relevant Saudi government portals (*, Qiwa, Muqeem, Absher Business, Mudad, GOSI, ZATCA, MOC, Balady).
- Adhere to all safety protocols and standards.
- Complete additional tasks or special assignments as instructed by management.
- Handle confidential information with discretion, ensuring secure storage and authorized sharing.
Qualifications and Experience
- Proven experience of 3-5 years in logistics and supply chain management.
- 3-5 years of administrative experience.
- Bachelor’s degree in Business Administration, Office Management, or a related field (preferred); an Associate degree or relevant certification may be considered with sufficient experience.
- Basic understanding of accounting principles.
- Proficiency in MS Office and experience with ERP software.
- Ability to handle bilingual (Arabic/English) documentation when required.
- Experience with Saudi government platforms such as Qiwa, Muqeem, Absher Business, Mudad, GOSI, ZATCA, the Ministry of Commerce (MOC) portal, and Balady is highly desirable.
