About Qanoniah and the Role

Qanoniah is a leading AI LegalTech Startup in Saudi Arabia, providing an AI Legal Assistant trusted by major enterprises and government entities across the Kingdom. We are seeking a Sales Operations Specialist Tenders & Collections to join our team in Makkah. This full-time role is central to the operational cycle between sales and finance, requiring 3+ years of relevant experience.

The specialist will manage every closed deal from client acceptance through to payment collection. This involves critical supplier-side activities such as vendor registration, qualification questionnaires, portal submissions, Etimad filings, purchase order coordination, invoicing, and collections. The focus is on ensuring Qanoniah is registered, approved, and paid within client systems.

Key Responsibilities

  • Manage the entire post-sales process from deal handover to payment collection.
  • Register Qanoniah on client vendor portals, including SAP Ariba, Oracle iSupplier, and other proprietary enterprise systems, by completing supplier questionnaires and qualification requirements.
  • Maintain Qanoniah's profile and qualifications on Etimad, submitting proposals, uploading invoices, and responding to government requirements promptly.
  • Prepare and maintain all necessary documentation across platforms, such as CR, VAT certificate, GOSI, Zakat certificate, bank letters, and company profiles.
  • Follow up with client procurement teams to achieve Approved Vendor status, then coordinate Purchase Order issuance with the Sales team.
  • Collaborate with the Finance department to issue invoices that align with client Purchase Orders and portal specifications, then submit and track them through to payment.
  • Oversee collections by tracking outstanding receivables, engaging with client accounts payable teams, and providing Finance with clear visibility on expected payment timelines.
  • Resolve discrepancies between sold services, invoiced amounts, and client system acceptance criteria.
  • Maintain a real-time tracker for registration, Purchase Order, and invoice statuses across all accounts, identifying and flagging potential delays proactively.
  • Identify and filter relevant tenders on Etimad and other platforms, coordinating submission efforts with Sales and Legal teams.

Required Qualifications and Experience

  • A Bachelor's degree.
  • 3+ years of experience on the supplier side, specifically registering companies and submitting invoices to Saudi corporations or government entities.
  • Hands-on experience with Etimad, including personal involvement in company registration, proposal submission, and invoice processing through the platform.
  • Working knowledge of at least one enterprise vendor portal (*, SAP Ariba, Oracle iSupplier, or equivalent).
  • Command of the Saudi supplier documentation and compliance cycle.
  • Comfortable working with Finance, demonstrating an understanding of invoices, VAT, payment terms, and receivables.
  • Proven ability for relentless, structured follow-up with client teams to ensure payment, while maintaining strong professional relationships.
  • Exceptional attention to detail, recognizing that minor errors can lead to significant delays.
  • Based in Makkah and available to work on-site.

Preferred Skills and Experience

  • Experience working with PIF companies and their subsidiaries.
  • Experience preparing technical and financial proposals (RFQ, RFP, RFI).
  • Background in technology or IT projects.
  • Experience selling to Aramco, SABIC, or government ministries.
  • Background at a SaaS or technology vendor.
  • Accounts receivable or billing experience.
  • Familiarity with HubSpot.
