The Role: Admin Coordinator

Etihad Pioneers Training Academy is seeking a full-time Admin Coordinator to join its team in Riyadh. This role provides essential administrative and operational support to the Training, Sales Aftercare, and Learning & Development departments. The primary focus of this position is to manage training documentation, data entry, filing, and record management, ensuring the accuracy and completeness of all training-related records.

Key Responsibilities

  • Perform accurate data entry for training records, attendance sheets, assessments, certifications, and client information.
  • Organize, file, scan, and maintain both physical and digital training documents, ensuring proper storage and easy retrieval.
  • Verify the accuracy and completeness of records before submission or filing, and maintain organized databases and trackers for training activities and certifications.
  • Assist with student registrations, attendance tracking, and exam documentation.
  • Coordinate training schedules, venues, and training materials with internal teams and trainers.
  • Support post-training administration, including attendee reports and certificate issuance, and ensure training files are completed according to internal procedures and accreditation requirements.
  • Coordinate with trainers to collect and organize all required documents after training sessions, and accurately maintain and update CRM and training management systems.
  • Support the maintenance of compliance records related to training and accreditation requirements, ensuring all records are updated in line with company procedures and awarding body standards.
  • Assist during audits by preparing and organizing supporting documentation, and monitor document validity to ensure records remain current and compliant.
  • Communicate with trainers, clients, and internal departments regarding administrative requirements and training documentation, responding to queries professionally and promptly.
  • Support coordination between departments to ensure smooth day-to-day operations and training delivery.
  • Assist with preparing reports, trackers, and internal documentation, and support general office administrative tasks while maintaining organized filing systems.
  • Handle confidential information with professionalism and discretion, and support the department with additional administrative duties as assigned.

Qualifications and Experience

  • A minimum of 0-1 years of experience in an administrative or coordination role.

Required Skills and Attributes

  • Strong attention to detail, organization, and accuracy in handling training records, certifications, and administrative documentation.
  • Proactive approach to task management and problem-solving.
  • Capability to manage administrative tasks with a high level of accuracy and confidentiality.
  • Effective communication and interpersonal skills for coordinating with various stakeholders.

Work Environment

This full-time position is based in Riyadh. The salary for this role will be discussed during the interview process.
