Bidding Specialist

About the Role

EjadTech is seeking a Bidding Specialist to join our team in Riyadh. This full-time position involves managing the entire tender and bidding lifecycle for opportunities across both government and private sectors. The specialist will oversee the process from initial opportunity sourcing and qualification through to submission, award, and subsequent handover, ensuring full compliance with all requirements and deadlines.

Opportunity Sourcing and Qualification

• Monitor government and private tendering platforms, including Etimad, alongside opportunities received via Sales, partners, and other channels.
• Review tender documents, evaluation criteria, eligibility requirements, scope, and special conditions to assess opportunity suitability.
• Conduct preliminary qualification and identify potential commercial, technical, contractual, or compliance risks.
• Prepare clear Go / No-Go recommendations and coordinate qualified opportunities with the Sales team for pursuit decisions.
• Ensure all pursued opportunities are accurately registered and maintained within the CRM system.

Bid Coordination and Tracking

• Coordinate qualified opportunities with Sales and Presales teams, confirming ownership, responsibilities, and submission timelines.
• Maintain an up-to-date bid tracker detailing opportunity stage, owner, deadline, platform status, qualification progress, and outcome.
• Manage pre-qualification and post-qualification requirements, following up on requests received through tendering platforms or client correspondence.
• Coordinate required company documents, certificates, classifications, bid bonds, performance bonds, and other tender requirements with relevant internal teams.
• Monitor critical deadlines and proactively escalate any risks that may impact qualification or submission.
• Follow opportunities through clarification, evaluation, qualification, and award stages until an award letter or purchase order is issued.

Compliance and Submission

• Conduct the final compliance review of approved technical and financial proposals prior to submission.
• Verify mandatory forms, compliance matrices, pricing schedules, signatures, stamps, supporting documents, file formats, and naming requirements.
• Ensure proposals address all requirements stated in the tender documents, terms and conditions, and annexes.
• Submit approved proposals through the relevant tendering platform within the required deadline and maintain submission evidence and records.

Post-Award Management and Documentation

• Compile the complete awarded opportunity package, including tender documents, approved technical and financial proposals, cost sheets, award letters or purchase orders, and related documents.
• Coordinate the formal handover to the Delivery / PMO team, ensuring clear communication of scope, contractual obligations, deliverables, and commitments made during the bidding stage.
• Follow up on contracts, completion certificates, and reference documents required for future qualifications.
• Maintain and continuously update the company’s reference experience, qualification records, and bidding documentation.

Required Experience

Candidates should possess 2-5 years of experience in a relevant bidding or tender management role.
