The Opportunity

New Metrics is seeking a Project Coordinator to join our team in Riyadh, Saudi Arabia. This full-time role is central to delivering recurring consumer and citizen focus groups and workshops across the Kingdom, which gather first-hand feedback crucial for client leadership decisions. The Project Coordinator will serve as the single, dedicated, on-the-ground owner for these workshops, ensuring consistent, end-to-end execution. Additionally, the role provides essential coordination and administrative support to the New Metrics KSA office, contributing to the smooth operation of our Riyadh activities between sessions. The ideal candidate will have 2-5 years of relevant experience.

Key Responsibilities: Workshop Operations

The primary duties of this role involve comprehensive management of workshops and focus groups, including:

  • Pre-session Planning & Readiness: Own the rolling workshop calendar and flag scheduling risks. Act as the single liaison to the attendance vendor, overseeing participant outreach and confirmation. Book and prepare venues across relevant regions, confirming setup, connectivity, refreshments, signage, and accessibility. Coordinate all session logistics, including travel, equipment, materials, and on-site technology setup (recording devices, AI-assisted transcription/summarization tools).
  • On-site Session Delivery: Be the dedicated New Metrics presence at every workshop, serving as the consistent on-the-ground face for clients and participants. Run participant check-in, distribute and collect feedback forms, and issue participation certificates. Place and operate recording devices, confirming clean capture. Support the moderator by managing the room, adhering to the agenda and timings, and taking structured notes. Manage and resolve on-site issues in real time.
  • Post-session Recording & Reporting: Produce an executive summary for client leadership on the day of each session. Generate a standardized detailed session report on the same day, covering attendance, logistics, captured participant feedback, and an AI-assisted summary of the discussion. Maintain an organized and retrievable archive of all session materials.

Key Responsibilities: Office Coordination

Between workshop commitments, the Project Coordinator will provide essential support to the KSA office, including:

  • Providing day-to-day coordination and administrative support to the New Metrics KSA office.
  • Coordinating logistics for other in-Kingdom engagement activities, such as field-work, trainings, and stakeholder meetings, as needed.
  • Supporting local document handling, filing, and basic record-keeping for the KSA office.
  • Helping to onboard and coordinate field staff and vendors operating within the Kingdom.
  • Acting as a local point of contact for KSA-based operational and administrative matters.

Qualifications and Experience

Candidates for this role should possess:

  • 2-5 years of professional experience in project coordination, event management, or a similar administrative and logistical role.
  • Demonstrated ability to manage multiple tasks, prioritize effectively, and maintain high standards of execution.
  • Strong organizational skills with meticulous attention to detail in planning, execution, and documentation.
  • Proficiency in managing on-site logistics, technology setup, and resolving issues in a dynamic environment.
  • Excellent communication and interpersonal skills to liaise effectively with clients, participants, vendors, and internal teams.

Working Conditions

This position is based in Riyadh, Saudi Arabia, and requires regular travel across the Kingdom's regions to deliver workshops. Travel is a core and expected part of the role, concentrated around the workshop calendar. Some sessions and preparation activities may occur outside standard office hours, depending on participant availability.
