About the Role
TalentHUB is seeking a dedicated Purchasing Coordinator to join a well-established and fast-growing company in the food and beverage industry. This organization operates an extensive network across the Kingdom of Saudi Arabia and is recognized for its strong operational standards, commitment to quality control, and continuous expansion. The role focuses on managing external and international purchasing, with an emphasis on overseas suppliers, import documentation, and logistics coordination to ensure the timely delivery of essential food products, packaging, and kitchen equipment. This full-time position is based in Riyadh, Saudi Arabia.
Key Responsibilities
- Coordinate external and international purchase orders with overseas suppliers, ensuring clear communication and adherence to agreements.
- Manage comprehensive supplier communication regarding pricing, lead times, shipping terms, and all necessary documentation.
- Prepare and follow up on import and procurement contracts in coordination with vendors.
- Ensure compliance with Saudi import regulations, Saudi Food and Drug Authority (SFDA) requirements, and relevant food safety standards.
- Coordinate with logistics providers, customs clearance agents, and warehouse personnel for the handling of inbound shipments.
- Track all shipments, with a focus on perishable and cold chain items, to guarantee timely clearance and delivery.
- Handle procurement documentation related to banking transactions, including Letters of Credit (LCs) and associated trade documents.
- Review and verify all shipping documents, such as Commercial Invoices, Packing Lists, Certificates of Origin (COO), Health Certificates, and Bills of Lading/Air Waybills (BL/AWB).
- Maintain and evaluate an approved database of international suppliers.
- Coordinate with the finance department for invoice verification, payment processing, and supplier reconciliations.
- Prepare and present regular procurement and shipment status reports to management.
- Support the Procurement Manager in optimizing external sourcing strategies and enhancing cost efficiency.
Qualifications and Requirements
- A Bachelor's degree in Business Administration, Supply Chain Management, Accounting, or a closely related field is required.
- A minimum of 2 years of experience in external or international procurement within the Food & Beverage (F&B) industry is mandatory.
- Strong understanding of import procedures, customs clearance processes, Incoterms, and Letter of Credit (LC) operations.
- Familiarity with Saudi Food and Drug Authority (SFDA) regulations, general food safety standards, and cold chain logistics requirements is essential.
- Fluency in both Arabic and English, encompassing written and spoken communication, is a prerequisite.
- Proficiency in Microsoft Office Suite and experience with procurement or Enterprise Resource Planning (ERP) systems is necessary.
