The Role of Admin Booking

The Admin Booking role is a full-time position based in Tabuk, Saudi Arabia, providing essential administrative and booking support for Red Sea Sports & Entertainment (RSSE) guest experiences, including Akun, Wama, and Galaxea activities. This role is critical for maintaining accurate booking records, coordinating guest enquiries, and managing schedules and availability. The Admin Booking professional ensures seamless communication between guests and operations teams, contributing to a professional booking experience from initial enquiry through to completion. Accuracy, responsiveness, internal coordination, and professional guest communication are paramount to the success of this role.

Key Responsibilities

  • Provide day-to-day administrative support for guest bookings across RSSE activities and experiences.
  • Receive, log, and respond to booking enquiries promptly and professionally.
  • Accurately maintain booking systems, calendars, schedules, availability, guest details, time slots, amendments, and cancellations.
  • Prepare and dispatch booking confirmations, updates, and relevant information to guests and internal teams.
  • Coordinate with operations teams to ensure clear communication of guest requirements, activity details, timings, and special requests.
  • Monitor schedules to prevent duplicated bookings, overlapping time slots, or incomplete booking information.
  • Provide administrative assistance for reports on bookings, cancellations, attendance, and guest requirements.
  • Manage and monitor email addresses for the various RSSE brands.
  • Support pre-activity communication by sharing accurate information on experiences, activity requirements, timings, and guest preparation details.
  • Assist guests with booking changes, cancellations, and general enquiries, maintaining a high standard of customer service.
  • Follow up with guests or internal teams as needed to support feedback collection and service improvement initiatives.
  • Maintain organized records, trackers, shared folders, and booking documentation in accordance with internal requirements.
  • Support coordination with relevant departments to ensure a seamless booking and guest experience process.
  • Identify and propose simple improvements in booking administration, data accuracy, communication flow, and scheduling efficiency.
  • Promote awareness of RSSE activities and experiences, including wider portfolio offerings when appropriate.

Qualifications and Experience

  • A minimum of 0-1 years of experience in an administrative or booking support role.
  • Demonstrated ability to maintain accuracy and attention to detail in record-keeping and data entry.
  • Strong organizational skills with the capacity to manage multiple tasks and priorities effectively.
  • Excellent communication skills, both written and verbal, for professional guest interaction and internal coordination.
  • Proficiency in using booking systems, calendars, and standard office software.

Operational Standards and Continuous Improvement

The Admin Booking professional is expected to adhere to all relevant RSSE and functional policies, processes, standard operating procedures, and instructions. This includes preparing accurate and timely booking updates, trackers, and reports to support operational and management requirements, while maintaining confidentiality and accuracy when handling sensitive guest, booking, and operational information. The role also involves applying relevant safety, quality, and environmental management requirements in all booking coordination and guest communications, ensuring operational teams receive precise details for safe and high-quality activity delivery. Furthermore, the individual will contribute to continuous improvements in booking administration, guest communication, data tracking, and reporting processes, sharing observations and recurring issues with the line manager to enhance planning and service delivery.
