About the Role

Red Sea Global is seeking a full-time Administrative Specialist to join its team in Tabuk, Saudi Arabia. This role is responsible for providing high-quality administrative, reservations, and coordination support across the organization's guest services and operational functions. The position is suitable for candidates with 0-1 years of experience, focusing on ensuring accurate, efficient, and professional management of daily operations.

Core Responsibilities

The Administrative Specialist plays a central role in coordinating guest requirements and ensuring information is communicated accurately across relevant teams. This involves managing bookings, guest enquiries, schedules, documentation, records, and internal communications to support seamless day-to-day operations. The position directly contributes to operational efficiency, service quality, and guest satisfaction by maintaining high standards of accuracy, organization, confidentiality, and professionalism.

Booking and Administrative Operations

  • Manage and process guest bookings and reservations for watersports, diving, land-based adventure activities, and other experiences.
  • Respond professionally to booking enquiries, confirmations, amendments, cancellations, and special guest requirements.
  • Provide guests with clear and accurate information regarding activities, schedules, and booking details.
  • Maintain accurate and up-to-date booking records, guest profiles, payment information, and supporting documentation.
  • Prepare, review, process, and maintain administrative documentation, including booking confirmations, itineraries, invoices, and reports.
  • Manage departmental correspondence through various communication channels and perform accurate data entry, filing, and document control.
  • Support meeting coordination, including scheduling and preparation of documentation.

Coordination and Support Functions

  • Coordinate with Operations, Guest Services, Finance, and other departments to align guest requirements, schedules, and resources.
  • Liaise with internal teams and stakeholders to ensure guest requests and operational requirements are communicated and addressed promptly.
  • Support invoicing, billing, payment tracking, and reconciliation activities in coordination with Finance.
  • Maintain accurate administrative and financial records, handling information with appropriate confidentiality and discretion.
  • Provide administrative support for events, promotions, seasonal activations, and guest experience programs.
  • Assist operational teams during peak booking periods, events, and high-demand periods.

Compliance and Process Improvement

  • Comply with all relevant company policies, processes, Standard Operating Procedures (SOPs), and administrative controls.
  • Maintain accurate departmental reports, trackers, booking records, and databases.
  • Adhere to applicable health, safety, quality, and environmental policies, procedures, and controls.
  • Identify opportunities to improve booking processes, administrative workflows, and service efficiency.
  • Support the implementation of new systems, processes, and operational improvements.

Candidate Profile

The ideal candidate for this Administrative Specialist position will have 0-1 years of relevant experience. Strong organizational skills, meticulous attention to detail, and the ability to manage multiple tasks efficiently are essential. Professional communication skills, both written and verbal, are required for effective interaction with guests and internal stakeholders.
