About the Role

KEO International Consultants is seeking a Document Controller to join their team in Medina, Saudi Arabia. This is a full-time position requiring 5-10 years of experience.

Role Overview

As a Document Controller at KEO, you will be responsible for the comprehensive management of all project documentation. This role involves ensuring adherence to project procedures, quality management systems, and contractual requirements. You will play a key part in maintaining the integrity and accessibility of project information throughout its lifecycle.

Key Responsibilities

  • Manage all project documentation in accordance with project Document Control Procedures and Quality Management System.
  • Administer and maintain the Electronic Document Management System (EDMS), ensuring accurate recording, control, distribution, and archiving of all project documentation.
  • Process incoming and outgoing correspondence, technical submissions, transmittals, RFIs, shop drawings, material submittals, reports, specifications, and other project documentation.
  • Manage document workflows, approvals, revisions, metadata, document numbering, status codes, distribution matrices, and document registers according to project procedures.
  • Monitor document review cycles, overdue actions, pending approvals, and turnaround times, proactively following up with stakeholders for timely responses.
  • Plan, prioritize, allocate, and manage document control workloads effectively to support project milestones and delivery schedules.
  • Maintain attention to detail when reviewing document titles, revision histories, attachments, workflow routes, numbering conventions, and distribution lists.
  • Produce regular document control reports, dashboards, registers, and key performance metrics for project leadership.
  • Support project teams, contractors, consultants, and client representatives in the correct use of Aconex and document submission procedures.
  • Ensure all documentation complies with contractual requirements, client standards, project procedures, and quality management systems.
  • Identify process inefficiencies, document control issues, system gaps, and non-compliance, proposing practical solutions and continuous improvement initiatives.
  • Coordinate closely with engineering, commercial, construction, and project management teams to facilitate efficient information flow.
  • Maintain the confidentiality, security, and integrity of all project documentation throughout the project lifecycle.

Qualifications and Requirements

  • 8-10 years of work experience.
  • A minimum of 5 years of experience in KSA or GCC countries.
  • A Diploma or Bachelor's degree in Business Administration or a related field.
  • A background that includes both contractor and consultancy experience is mandatory.
