Data Management and Analysis

  • Collect data from various business systems, spreadsheets, reports, databases, and departmental records.
  • Consolidate information from multiple functions into structured and reliable datasets.

  • Develop and maintain standardized data-entry templates and reporting formats, establishing clear data definitions, classifications, naming conventions, and reporting rules.
  • Maintain organized records of source data, calculations, assumptions, and report versions, and support the development of controlled master-data records.
  • Ensure proper handling of confidential and commercially sensitive information.
  • Analyze operational, financial, commercial, human-resource, inventory, procurement, and project data to identify trends, correlations, patterns, variances, exceptions, and performance gaps.
  • Compare actual performance against targets, budgets, schedules, forecasts, and historical results, and perform root-cause analysis for significant deviations.
  • Develop analytical models to support operational planning and business decisions, conducting productivity, utilization, cost, revenue, profitability, and efficiency analyses.
  • Analyze project performance, including manpower deployment, equipment use, working hours, progress, delays, standby, and cost impacts.
  • Support forecasting and scenario analysis based on available business data, clearly distinguishing between confirmed information, assumptions, estimates, and analytical conclusions.

Reporting and Dashboard Development

  • Prepare periodic management reports, dashboards, charts, summaries, and analytical presentations.
  • Develop key performance indicator dashboards for different departments and management levels, presenting complex information in a clear and understandable format.
  • Automate recurring reports where practical and appropriate, maintaining consistency between source data, calculations, dashboards, and final reports.
  • Develop exception reports highlighting significant deviations, risks, and required management actions.
  • Provide concise analytical commentary explaining changes, reasons, and potential business impacts, and support monthly, quarterly, and annual performance-review processes.

System Support and Data Integrity

This role involves extracting, consolidating, and analyzing data from Zoho applications and other company systems. The Data Analyst will support reporting and dashboard development using available Zoho capabilities, and assist departments in improving the quality and consistency of data entered into Zoho. Reviewing workflows, fields, classifications, and reporting structures from a data-analysis perspective is crucial. Coordination with system administrators or external providers for technical configuration, and support for data migration, cleansing, validation, and reconciliation activities will be required to ensure reports are accurate, timely, traceable, and suitable for management decision-making.
