Role Overview

Avensys Consulting is seeking a Senior Crewing Officer to join their team in Dammam, Eastern, Saudi Arabia. This full-time role requires 2-5 years of experience and focuses on recruitment, crewing, logistics, operations, and administration for onshore and offshore staff.

Key Responsibilities

• Identify required positions and post job advertisements on portals.
• Coordinate with recruitment agents globally and communicate with contacts for staffing requirements.
• Shortlist CVs, conduct initial interviews, and manage the selection process.
• Verify documents, negotiate salary and contract terms, and obtain final approval for staff selection.
• Source officers and crew for vessels and plan work and vacation periods for offshore crew.
• Prepare rotation plans for officers and crew according to contracts.
• Update and maintain crew documents and serve as the primary point of contact for all officers and crew.
• Prepare monthly payroll and follow up with accounts and vessels for supporting documents.
• Coordinate with agents for sign-on/sign-off procedures and process respective visa applications (KSA, UAE, Oman, etc.), including Letters of Invitation (LOI) for Saudi visas.
• Coordinate with travel agents for cost-effective flight bookings and prepare travel documents (*, COVID-19 tests, hotel bookings, local travel arrangements).
• Manage daily correspondence and communications with vessels.
• Process Flag State Documentation as per vessel flag requirements.
• Identify and arrange necessary training for seafarers.
• Coordinate with clients for CV submission and review, proposing candidates for Quality and Assurance provisional approvals.
• Prepare documents for relevant authorities.
• Instruct vessels, agents, and contractors daily.
• Plan logistic mobilization of officers and crew.
• Negotiate with service providers and verify received invoices, coordinating with the accounts department.

Qualifications and Experience

• A minimum of 2-5 years of relevant experience in crewing, recruitment, or logistics.
• Demonstrated ability to manage recruitment processes from identification to final approval.
• Experience in coordinating travel and visa arrangements for international staff.
• Proficiency in managing documentation and administrative tasks related to crewing and operations.
