About the Role

Petromin Corporation is seeking a Broker Sales Administrator to join its team in Jeddah, Makkah, Saudi Arabia. This full-time role is central to managing broker sales operations, ensuring efficient contract management, meticulous documentation, and accurate data reporting. The Administrator acts as a key liaison between the sales team and other departments, facilitating smooth service delivery and operational efficiency.

Broker Sales Process Management

The Broker Sales Administrator is responsible for the comprehensive administration of all broker sales processes. This includes ensuring accuracy and compliance across all stages, from initial documentation to financial transactions and client feedback integration.

  • Prepare, securely store, and maintain accessibility of all broker sales documents, including contracts, order forms, and service agreements, for audits and client inquiries.
  • Process broker sales orders and coordinate with sales, inventory, and logistics teams to ensure timely delivery and fulfillment of client specifications.
  • Administer a comprehensive database of broker clients, continuously updating contact information, purchase history, and preferences to support personalized service and follow-ups.
  • Generate detailed monthly and quarterly reports analyzing sales performance, client engagement, and revenue metrics to inform strategic decisions and sales forecasting.
  • Ensure accurate processing of all financial transactions related to broker sales, including invoicing, payments, and credit control, in compliance with financial policies.
  • Administer broker sales activities to ensure full compliance with local Saudi regulations and international trade laws impacting broker operations.
  • Implement systems for systematic collection and analysis of broker client feedback to proactively improve service offerings and address concerns.
  • Regularly review and administer broker sales contracts to ensure they are up-to-date, compliant, and renewed on schedule to maintain continuous service and legal integrity.

Inventory Oversight for Broker Sales

This role involves critical oversight of vehicle inventory to support broker sales, ensuring optimal stock levels and efficient allocation to meet client demands.

  • Monitor inventory levels to ensure an adequate supply of vehicles for broker sales, utilizing inventory management systems to update stock records and alert sales teams of shortages.
  • Conduct comprehensive quarterly audits of broker inventory to verify stock record accuracy and physical condition of vehicles, addressing discrepancies promptly.
  • Administer the allocation of vehicles for specific broker orders, ensuring correct models and quantities are available as required by clients, optimizing logistics and delivery timelines.
  • Administer stock adjustments based on ongoing sales trends, customer demand, and seasonal fluctuations to optimize inventory levels and prevent overstocking or stock-outs.
  • Prepare detailed inventory reports providing insights into vehicle availability, status, and turnover rates to guide purchasing decisions and sales strategies.
  • Handle the reordering process, liaising with suppliers to ensure timely replenishment of popular models and variations based on sales data and forecasted demand.

Client Relations Administration

The Administrator plays a key role in maintaining strong relationships with broker clients through effective communication and service coordination.

  • Organize regular communication channels with broker clients, including newsletters, status updates, and direct calls, to keep them informed and engaged with offerings.
  • Coordinate the scheduling of all client-related services, such as vehicle delivery, routine maintenance, and required repairs, to ensure a seamless client experience.
  • Administer contract renewals and updates, ensuring terms are current and reflect any new negotiations or service changes.
  • Promptly address and resolve issues or complaints from broker clients, maintaining high standards of client service and satisfaction, and documenting outcomes for future reference.

Qualifications and Experience

Candidates for this position should possess foundational experience in an administrative or sales support capacity.
