About the Role
alfanar Group is seeking an Administrator I EXA Ceramics to join its team in Riyadh. This full-time role involves overseeing day-to-day administrative operations and executing essential procedures within a cross-functional department. The Administrator will ensure efficient coordination and provide critical support to executives.
Core Responsibilities
- Maintain management agendas and assist in planning appointments, meetings, and conferences.
- Make comprehensive travel arrangements for management.
- Handle and prioritize all incoming and outgoing correspondence, including emails, letters, and packages.
- Manage confidential documents, ensuring their security and integrity.
- Monitor office supplies, negotiate terms with suppliers, and ensure cost-effective procurement.
- Maintain electronic and paper records, ensuring information is organized and readily accessible.
- Attend meetings and accurately record minutes.
- Receive and screen phone calls, redirecting them to the appropriate parties as needed.
- Serve as a primary point of contact for company communications, responding to emails and directing queries effectively.
Operational Accountabilities
- Perform planned activities to meet operational and development targets according to schedules, utilizing resources efficiently.
- Provide periodic reports detailing deviations and the execution status of planned tasks.
- Address and resolve operational problems, escalating complex issues when necessary.
- Ensure quality requirements are met to develop effective quality control processes, including specifications for products, processes, or related activities.
- Coordinate well-defined written systems, policies, and procedures, actively seeking opportunities for automation to improve business processes.
- Comply with all relevant company policies, procedures, and work instructions.
- Ensure adherence to safety, quality, and environmental management procedures and controls within the defined work area to guarantee legislative compliance and high-quality service delivery.
Qualifications and Experience
Candidates should possess 2-5 years of relevant experience in an administrative role. Strong capabilities in administrative support, meeting and communication management, research, and presentation preparation are essential.
Required Skills and Competencies
- Demonstrated ability to acquire updated soft and technical skills relevant to the job, with a clear vision for career path achievement.
- Excellent interpersonal and communication skills, both written and verbal, for effective interaction with executives and cross-functional teams.
Work Environment
This is a full-time position based in Riyadh.
