About the Executive Operations Role
LEO MEA (Middle East & Africa) is seeking an Executive Operations professional for a full-time position in Riyadh. This role supports the operational efficiency of the agency, which is recognized as one of the most awarded creative networks globally. Key Responsibilities
The Executive Operations role involves providing comprehensive administrative support across various departments. Key duties include:
- Performing data entry, preparing documents, and managing filing systems.
- Coordinating meetings, conferences, and appointments.
- Assisting with the management of office supplies and inventory.
- Collaborating with the Talent Team on employee seating arrangements.
- Coordinating with messengers and runners for the delivery of client, vendor, and governmental documents, including invoices.
- Following up on talent-related matters to ensure timely task completion.
- Liaising with the finance team to manage invoices and expenses, including issuing Purchase Orders (POs) and registering invoices.
- Drafting manual invoices and creating new vendor and client records in the system.
- Tracking and reporting office attendance and rotation plans.
- Coordinating office-related tasks with office support staff.
Travel Coordination
This role includes managing all aspects of employee travel arrangements:
- Arranging flights, accommodation, transportation, and visa processing as needed.
- Preparing detailed travel itineraries and ensuring all necessary travel documents are in order.
- Monitoring and reconciling travel expenses to ensure compliance with company policies.
Communication and Calendar Management
Effective communication and organizational skills are essential:
- Communicating professionally with clients, employees, and visitors to address inquiries and provide information.
- Handling and distributing incoming and outgoing mail and packages.
- Assisting in managing calendars for management, including scheduling appointments and meetings to ensure efficient time utilization.
Qualifications and Experience
