About the Executive Operations Role

LEO MEA (Middle East & Africa) is seeking an Executive Operations professional to join their team in Riyadh. This full-time position supports the operational efficiency of the agency, which is known for growing iconic brands and nurturing talent through a culture that cherishes creativity. Core Responsibilities

The Executive Operations role involves providing comprehensive administrative support across various departments. Key duties include managing data entry, preparing documents, and maintaining filing systems. This position will also coordinate meetings, conferences, and appointments, and assist in managing office supplies and inventory. Collaboration with the Talent Team for seating arrangements and coordination with messengers for the delivery of client, vendor, and governmental documents are essential functions. The role also entails following up on talent-related matters, managing invoices and expenses in coordination with the finance team, and overseeing office-related tasks with office boys.

  • Issuing all Expenses Purchase Orders (POs) and registering invoices.
  • Drafting manual invoices.
  • Creating new expense vendors and clients in the system.
  • Tracking and reporting office attendance and rotation plans.

Travel Coordination

A significant aspect of this role involves arranging travel for employees. This includes booking flights, accommodation, and transportation, as well as managing visa processing when necessary. The Executive Operations professional will prepare detailed travel itineraries and ensure all required travel documents are in order. Monitoring and reconciling travel expenses to ensure compliance with company policies are also key responsibilities.

Communication and Calendar Management

Effective communication is vital for this position. The role requires interacting with clients, employees, and visitors to address inquiries and provide necessary information. Handling and distributing incoming and outgoing mail and packages is also part of the communication duties. Additionally, the Executive Operations professional will assist in managing calendars for management, scheduling appointments and meetings to ensure optimal time utilization.

Qualifications and Experience
