The Role of Fund Administration Manager

Sanabil Studio is seeking a Fund Administration Manager to manage the operational and administrative aspects of its investment activities. This full-time position is based in Riyadh and requires 5-10 years of experience. The role focuses on ensuring that all entities, documentation, and stakeholder interactions are accurately tracked, compliant, and prepared for audits. The Fund Administration Manager acts as a central control point for fund operations, ensuring execution, tracking, and documentation align with instructions and LPA requirements, without originating decisions.

Key Responsibilities

  • Oversee daily fund operations across all entities, coordinating between the fund administrator (Apex), GP (Maples), legal counsel, and auditors.
  • Execute and track all instructions across stakeholders, ensuring completion, escalating delays, and maintaining real-time status tracking.
  • Coordinate capital calls end-to-end, including reviewing administrator calculations against the LPA, maintaining a live cash tracker, and documenting all steps for audit.
  • Track all fund expenses against LPA limits and budgets, validating invoices, flagging non-compliant costs, and maintaining a real-time cost tracker.
  • Ensure all entities are in good standing and properly governed by coordinating board and shareholder resolutions, director appointments/removals, and ensuring required roles are in place.
  • Support portfolio companies with CR issuance and renewals (KSA), director changes, Powers of Attorney, and bank account setup, working with legal counsel and service providers.
  • Maintain centralized, audit-ready records for the fund, all entities, and portfolio companies, including KYC and identity documentation.
  • Log and store all communications, approvals, and instructions from administrators, legal, auditors, and service providers to ensure traceability and audit readiness.
  • Coordinate the audit process, ensuring all necessary data, documents, and reporting are prepared.
  • Build and maintain structured tracking systems for tasks, documents, and approvals to continuously improve operational discipline.

Work Environment

This role involves operating across a multi-entity fund structure, spanning multiple jurisdictions and stakeholders, with all coordination centralized through this position. The mandate is focused on execution, follow-up, and record integrity, with decision-making residing with leadership. The environment requires upholding institutional-grade discipline within a fast-paced venture studio setting. The scope and complexity of the role are expected to grow as new ventures are launched and fund vehicles expand.
