Receptionist

About the Role

Boehringer Ingelheim is seeking a Receptionist to be based in Al Tareef Al Jadeed, Riyadh, Saudi Arabia. This is a full-time, outsourced position open to Saudi Nationals only. The Receptionist will provide administrative support to the organization and serve as the primary point of contact for employees and visitors, ensuring smooth operations and high levels of customer satisfaction. This role reports to the Head of Finance & Administration and requires 2-5 years of relevant experience.

Key Responsibilities

• Welcome guests and employees visiting the office.
• Coordinate reception activities, including distributing correspondence and routing calls.

Tasks and Duties

• Manage information distribution by administering incoming and outgoing calls, mail, and packages.
• Oversee visitor management in accordance with local security procedures, including recording visitors in the access system, issuing visitor badges, and providing replacement badges for employees upon request.
• Provide administrative support, including appointment scheduling and phone management.
• Maintain, organize, and file documents, and manage the issuance of keys to authorized persons.
• Manage office supplies inventory and ensure sufficient quantity by ordering replacements.
• Assist with various office projects and tasks, and oversee data entry into various systems.
• Act as a First Aid responder and Fire Marshall to support employee and company safety and fire procedures in case of emergencies.
• Adhere to data privacy laws and ensure compliance with workplace health, safety, and security regulations.
• Maintain confidentiality of sensitive information along with professional standards and ethical guidelines.
• Complete any required training, such as first aid or fire safety.
