About the Role

KEO International Consultants is seeking a Senior Document Controller to join their team in Riyadh. This is a full-time position. KEO is a global enterprise with over 60 years of experience in planning, design, and project delivery across the built and natural environments, recognized for its contributions to ambitious projects worldwide.

Role Overview

The Senior Document Controller will provide high-level administrative support to the project management team. This role is integral to maintaining project integrity, results, innovation, safety, and supporting KEO's people-focused culture. The position requires a proactive approach to managing project documentation and supporting administrative functions.

Key Responsibilities

  • Establish and maintain comprehensive record-keeping and filing systems for the project.
  • Control project documentation in accordance with company procedures.
  • Utilize advanced working expertise in ACONEX, including workflows, reviews, transmittals, metadata control, and reporting.
  • Support project administration, including collecting meeting notes into minutes, contributing to project trackers, conducting research, updating databases, and preparing presentations.
  • Type, format, and produce documents such as proposals, presentations, correspondence, and standard project reports.
  • File and retrieve project documents, records, and reports, ensuring the confidentiality and security of all project-related documentation.
  • Maintain calendars and contact databases, schedule appointments, complete travel or conference arrangements, and may arrange meetings and conferences for the project.
  • Receive, download, file, notify, and record incoming transmittals, information, and correspondence for the project.
  • File, upload, notify, and record outgoing transmittals, information, and correspondence for the project, including submissions to Client and Authority portals.
  • Undertake internal document functions in accordance with KEO procedures, such as contract signature procedures, purchase order procedures, and invoice reporting procedures.
  • Liaise with wider business and client administrators to answer inquiries, researching and resolving problems requiring knowledge of department policies and procedures.
  • Manage activities within own field of responsibility.
  • Demonstrate understanding of the Invoicing and Cash Collection processes.
  • Exhibit demonstrated experience dealing with Client and Authority submission portals and compliance requirements.

Qualifications and Requirements

  • Bachelor’s Degree or Diploma in Administration or equivalent.
  • 0-1 years of experience in a document control role.
