About the Purchasing Officer Role
alfanar is seeking a Purchasing Officer to join its team in Yanbu. This full-time position requires 2-5 years of experience and focuses on efficiently executing purchasing tasks in accordance with established policies and procedures to support departmental operational plans.
Core Responsibilities
The Purchasing Officer will be responsible for a range of procurement-related activities designed to ensure timely and quality execution of purchasing functions. Key duties include:
- Preparing and issuing Requests for Quotation (RFQ).
- Maintaining and updating the vendor database.
- Organizing and maintaining project-specific quotations in a shared folder for easy access.
- Preparing Purchase Orders (POs) in collaboration with the Purchase Engineer.
- Drafting official correspondence and internal memos in consultation with the Purchase Engineer.
- Finalizing POs within the SAP system based on feedback from accounting or site teams, coordinated with the Purchase Engineer.
- Updating the Purchase Order Status Report daily, adhering to approved quality documentation standards.
- Maintaining organized and up-to-date filing of all Purchase Orders.
- Initiating supplier evaluations for assigned projects, gathering feedback from Project Managers, and updating evaluation records.
- Ensuring documentation requirements for periodic ISO audits are met.
Role Accountabilities
This role is accountable for delivering on operational and development targets within defined schedules and budgets. It involves effective resource utilization and proactive problem-solving. The Purchasing Officer is expected to ensure quality standards are met, contribute to business process improvements, and maintain compliance with all relevant policies and procedures. Adherence to health, safety, and environmental management procedures is also a key accountability.
Key Performance Areas
Performance in this role will be measured by the ability to meet operational and development targets, efficient use of resources, and effective problem resolution. Maintaining high-quality standards in procurement processes and ensuring compliance with company policies and procedures are critical. The role also involves contributing to the continuous improvement of business processes and systems.
Qualifications and Experience
- Required experience: 2-5 years in a purchasing or procurement role.
- Familiarity with SAP systems for PO finalization is essential.
- Experience in preparing RFQs and managing vendor databases.
- Understanding of quality control processes and documentation for audits (*, ISO).
Work Location and Type
This is a full-time position based in Yanbu. The role operates within a structured departmental framework, contributing to the overall operational efficiency of alfanar.
