About the Role
PIPECARE Group, a global leader in in-line inspection with over two decades of experience, is seeking an HR Administrator to join their team in Dammam, Eastern Province. This full-time position will provide essential support to the Human Resources and Administration departments, focusing on maintaining HR systems and identifying areas for improvement.
Key Responsibilities
- Manage and enhance the effectiveness of the Human Resources Department through timely coordination and communication of HR-related matters between regional and Head Office central offices.
- Support the recruitment process by scheduling interviews, screening CVs, and managing follow-up communications.
- Coordinate administrative tasks including visa processing, employment requirements, document legalization, medical insurance, bank account opening for employees, and other HR-related requests.
- Maintain accurate records of all employee leaves, such as Annual Leave, Personal Leave, Sick Leave, and Field Breaks.
- Execute employee clearance and handover procedures for various scenarios including annual leave, emergency leave, field breaks, termination, and resignation. This includes booking employee tickets for these matters.
- Create and maintain personal hard files and electronic files for new employees, ensuring proper labeling, filing, scanning, and document follow-up.
- Establish employee profiles in the ERP system, upload salary details, and manage changes in position or designation within the ERP.
- Monitor daily attendance for all LIN SCAN/PIPECARE employees and perform final approval in the ERP for payroll processing.
- Prepare and maintain the monthly salary adjustment file, finalize, and submit the monthly payroll for financial approval.
- Update and maintain the Training Matrix.
- Address and resolve minor employee issues or concerns directly.
- Prepare and maintain records of all HR-related documents, including job offers, employment contracts, probation confirmation letters, promotion letters, salary certificates, clearance and liability letters, and warning and termination letters.
- Prepare certificates for general assembly and coordinate with Office Assistants for certificates and refreshments.
- Handle employee accommodation requests in accordance with Company policy.
- Release employee passports and Gate Passes as per request, and issue/release labor cards.
- Attend internal meetings as requested by the Supervisor.
- Perform any other duties as assigned by the Supervisor.
Accountability
- Ensuring employee files are kept up-to-date and adhere to company standards.
- Monitoring and approving daily attendance records.
- Managing employee relations for the assigned territory.
- Submitting monthly payroll on time according to the approved schedule.
Qualifications and Requirements
- Bachelor's Degree in Administration or a related field.
- A minimum of 5 years of experience in an HR Administrator role.
- Experience working within complex organizations, such as multinational, matrix, cross-cultural, or multi-location environments.
- Strong administration experience, with a preference for experience in a recruitment function.
- Excellent communication skills and fluency in English.
- Ability to work proactively, professionally, and with confidence.
- Capacity to work effectively under pressure and meet tight deadlines.
Physical and Mental Requirements
This role requires the ability to lift and carry up to 50 pounds. Mobility is necessary, including walking and climbing to perform duties, which may involve navigating refinery or plant environments and accessing elevated platforms via ladders and stairwells. Effective communication through speech and hearing is essential. The role also demands the ability to maintain focus and multitask effectively. Candidates must be able to wear required safety equipment if needed in manufacturing environments. Sufficient personal mobility and reflexes are required to perform office duties and travel to off-site locations when necessary, with or without reasonable accommodations.
