The Role of Document Controller

AECOM is seeking a Document Controller to join its team in Jeddah, Makkah, Saudi Arabia. This full-time position is crucial for maintaining efficient document management processes across assigned projects, ensuring accuracy, accessibility, and compliance with established protocols.

Key Responsibilities

  • Maintain an established data distribution system and schedule for assigned projects based on client, project, and supplier requirements.
  • Revise systems or schedules as needed to ensure timely approvals and distribution of documents.
  • Ensure changes to documents are completed promptly to meet set deadlines.
  • Coordinate with other parties to ensure document edits are made, reviewed, and proofed according to project specifications.
  • Track and maintain comprehensive records of all documents throughout their lifecycle.
  • Follow standardized procedures while exercising discretion as needed to complete project objectives.
  • Maintain and update the document tracking and production system to ensure accuracy and accessibility.
  • Prepare and maintain a centralized document control system for all forms of documentation, including drawings, specifications, and correspondence.
  • Produce and distribute copies of drawings and documents for production teams and company employees.
  • Verify that all completed documents have been signed off by appropriate personnel before distribution.
  • Distribute copies of documents to designated personnel in accordance with established protocols.
  • Implement and adhere to company quality assurance program procedures and documentation standards.
  • Manage document version control and revision history to ensure the most current versions are in use across all departments.
  • Maintain document archival and retention procedures in compliance with company policy and regulatory requirements.
  • Provide support and guidance to team members regarding document control procedures and system usage.

Required Experience and Qualifications

Candidates for this Document Controller position should possess 2-5 years of relevant experience in document control or a similar administrative role. A strong understanding of document management principles and systems is essential for success in this role.
