Role Overview

The Admin role is responsible for ensuring the smooth and efficient operation of the delivery center facilities and related administrative processes. This position requires coordination with various internal teams and external vendors to manage day-to-day administrative tasks, support operational requirements, and maintain facility standards.

Key Responsibilities

  • Oversee facility management for the Delivery Center, coordinating with the Facility Management Company for upkeep and smooth operations.
  • Manage seat allocation and tagging/de-tagging of seats based on project requirements and RMG approval.
  • Handle vendor management, including vendor evaluation and timely processing of vendor payments via ARIBA.
  • Update annual/quarterly projections for budget allocation with the Finance department for Opex and Capex categories, including monthly manual provisioning.
  • Maintain and close Open Purchase Orders (POs) after obtaining No-Due Certificates (NDCs) from vendors.
  • Prepare and submit monthly/quarterly projection reports to Corporate for budget planning.
  • Assist with audit preparations by maintaining necessary artifacts.
  • Administer facility leases, including creating facilities in the system and processing annual payments through the LMS system.
  • Track contract renewals and Annual Maintenance Contracts (AMCs).
  • Monitor preventive maintenance schedules and upload PM reports to the portal.
  • Ensure timely resolution of admin-related tasks within Service Level Agreements (SLAs) and close GHD tickets.
  • Request associates to raise tickets for administrative assistance, particularly for access creation and revocation.
  • Support HSE Safety trainings and conduct periodic Fire Evacuation Drills.
  • Update the Annual Operating Plan Document (AOPD) upon any changes or annually, obtaining authorization from the Admin Head.
  • Prepare Bills of Quantities (BOQs) for floating Requests for Proposals (RFPs) for Branch PNCs.
  • Coordinate with the PNC team and vendors for sharing invites on TEAMS for conducting PNC meetings.
  • Prepare comparative rate analyses to identify the L1 vendor and draft PNC notes.
  • Define the Operations & Maintenance (O&M) scope with a list of activities and associated SLAs.
  • Communicate with relevant stakeholders and facilitate the Annual Power Shutdown in coordination with the Facility Management Company.
  • Verify admin assets on the ground against the Fixed Asset Register (FAR) report shared by Finance on a quarterly basis.
  • Compile details and update the Monthly Administration Report.
  • Schedule and conduct EPR Training for support staff monthly.
  • Conduct Contractual Consultation Training for support staff quarterly.
  • Arrange parking stickers for associates in coordination with the Builder.
  • Manage events and visitor access.
