About the Role at HSBC

HSBC Saudi Arabia is seeking an Administrative Assistant to support its investment banking operations in Riyadh. This full-time position offers an opportunity to contribute to the efficient management of administrative services within a leading financial institution. The role is suitable for individuals with 0-1 years of experience.

Role Purpose and Contribution

The primary purpose of this role is to assist Department and Unit Heads in the effective administration of the Bank's services. This includes supporting the day-to-day management of facilities and mail processing, ensuring smooth operational flow and adherence to policies.

Key Responsibilities and Operational Oversight

  • Supervise and coordinate the duties of administrative staff to ensure comprehensive coverage within the department.
  • Implement and ensure adherence to the entity's policies and procedures.
  • Administer and monitor financial systems to maintain accurate and timely financial records for the Bank.
  • Reconcile general ledgers, bank statements, accounts payable/receivable, and weekly deposits.
  • Support Department and Investment Banking Co-Heads management teams in achieving their targets.
  • Maintain up-to-date client records and ensure the correct and timely execution of HSBC SA standing orders.
  • Process essential bank transactions for clients, including internal transfers, payments, and drafts.
  • Ensure all bank service level agreements are met, delivering quality service to clients at all times.
  • Manage and handle client inquiries with a high degree of accuracy and quality, resolving issues efficiently and promptly.
  • Provide support during unplanned absences of colleagues and during peak hours at bank counters and client-facing tables.
  • Scan, read, and disseminate daily correspondence for various clients and internal managers.
  • Prepare income statements and balance sheets.
  • Ensure all transactions are properly recorded and entered into accounting systems.

Client and Stakeholder Support

This role involves assisting Departments and Investment Banking Co-Heads in coordinating administrative and service-related tasks. It also includes providing support to all department employees by identifying their requirements and facilitating their requests.

Qualifications and Experience

  • A Bachelor's degree in Business Administration or a related field is preferred.
  • 0-1 years of relevant work experience in a similar administrative role.
  • Experience within the banking sector in the region, with a strong focus on administration, is preferred.
