About the Business Support & Office Services Partner Role
Boston Scientific is seeking a Business Support & Office Services Partner to join its team in Riyadh. This full-time role focuses equally on business support and office services, aiming to deliver exceptional service and support to the Growth Emerging Markets (GEM) organization. The position serves as a key liaison for the GEM Marketing team and acts as the local representative for the Office Services function in Saudi Arabia.
Role Overview and Responsibilities
The Business Support & Office Services Partner provides comprehensive administrative, organizational, workplace, and operational support to employees, business teams, customers, vendors, and key stakeholders. Operating with a high degree of accountability and autonomy, the role ensures compliance with company policies and procedures. Responsibilities span both business support and office services functions, ensuring efficient operations and a positive employee and visitor experience.
Key Responsibilities
- Serve as the primary local contact for sales and marketing teams, customers, healthcare professionals (HCPs), healthcare organizations (HCOs), professional congress organizers (PCOs), vendors, and conference organizers.
- Provide administrative support, including document preparation, correspondence, reporting, and coordination activities.
- Lead Internal Request Form (IRF) administration for local HCP events and activities, ensuring timely communication among stakeholders.
- Manage purchase requisitions, purchase orders, vendor setup requests, quotations, and budget verification.
- Coordinate logistics for local meetings, events, training programs, and business activities, including venue management, contracts, and travel arrangements.
- Act as the primary local contact for all Office Services-related matters, including visitor management, mail services, and office supplies.
- Ensure efficient day-to-day office operations, coordinate maintenance and repairs, and manage relationships with local service providers.
- Support office events, employee engagement activities, and assist with the implementation of Environmental, Health, and Safety (EHS) requirements.
Qualifications and Experience
Candidates should possess a Bachelor’s degree or an equivalent combination of education and experience. A minimum of 3 years of experience in business support, executive administration, office management, or workplace services is required. Experience supporting cross-functional business teams, coordinating meetings and events, and knowledge of procurement, invoicing, and budget tracking processes are essential. Strong organizational, planning, and prioritization skills, along with excellent verbal and written communication skills in English, are necessary.
Preferred Qualifications
- Experience supporting multinational organizations or regional teams.
- Experience within the healthcare, medical technology, or highly regulated industries.
- Familiarity with HCP compliance processes and event administration.
- Knowledge of EHS requirements and workplace compliance standards.
- Arabic language proficiency.
Work Model and Location
This role operates on a hybrid work model, requiring employees to be present in the local office at least three days per week. The position is based in Riyadh, Saudi Arabia. Boston Scientific will not offer sponsorship or relocation assistance for this position at this time.
