About the Executive Secretary Role

360Solutions is seeking a dedicated Executive Secretary to provide comprehensive administrative support to senior management in Riyadh. This full-time position requires a professional with 5-10 years of experience in a similar capacity.

Key Responsibilities

  • Organize and manage the CEO's schedule, including internal and external meetings.
  • Handle official correspondence, manage incoming calls, respond to inquiries, and direct them to the appropriate departments.
  • Coordinate meeting schedules, liaise with participants, and follow up on appointments.
  • Professionally draft meeting minutes, document decisions and recommendations, and ensure follow-up with relevant departments.
  • Prepare periodic progress and follow-up reports for senior management.
  • Monitor the implementation of tasks and directives from management, ensuring adherence to timelines.
  • Prepare and design professional PowerPoint presentations for meetings and official events.
  • Manage and organize paper and electronic files, ensuring efficient archiving for easy access.
  • Maintain and update databases with information related to projects, meetings, decisions, and follow-ups.
  • Draft official letters and correspondence in both Arabic and English as required.
  • Coordinate with various departments and external parties to ensure smooth workflow and objective achievement.
  • Maintain the confidentiality of information and documents belonging to senior management.
  • Perform other duties as assigned by management that are related to the nature of the work.

Required Qualifications and Experience

  • Minimum of 5 years of experience in an executive secretarial or administrative support role.
  • Proven experience in organizing schedules and managing meetings for senior leadership.
  • Proficiency in preparing meeting minutes and executive reports.
  • Demonstrated ability to create professional presentations.
  • Excellent command of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
