Job Description
About the Executive Secretary Role
CleanLife is seeking a highly organized and proactive Executive Secretary to provide comprehensive administrative and organizational support to the Executive Management. This full-time position is based in Riyadh and requires 2-5 years of experience. The Executive Secretary will be instrumental in coordinating executive activities, managing communications, and ensuring the smooth operation of daily administrative functions.
Key Responsibilities
- Manage and coordinate the Executive Director's calendar, meetings, and appointments.
- Organize meetings, prepare agendas, and record detailed meeting minutes.
- Follow up on action items derived from management decisions to ensure timely execution.
- Handle incoming calls, emails, and correspondence with a high degree of professionalism.
- Prepare reports, presentations, and other executive documents as required.
- Maintain and organize confidential files, records, and essential administrative documents.
- Coordinate communication flow between executive management and internal departments.
- Welcome visitors, guests, and business partners, and arrange executive meetings.
- Manage travel arrangements, including flight bookings and itinerary planning for official business trips.
- Monitor incoming and outgoing correspondence to ensure prompt processing.
- Perform other administrative and executive support duties as assigned by management.
Required Qualifications
- A Bachelor's degree in Business Administration, Management, Secretarial Studies, or a related field.
- A minimum of 3 years of experience in an Executive Secretary, Executive Assistant, or similar support role.
Essential Skills and Competencies
- Excellent organizational and time management capabilities.
- Strong verbal and written communication abilities.
- A high level of professionalism, confidentiality, and discretion.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Ability to work effectively under pressure and manage multiple priorities simultaneously.
- Strong problem-solving and decision-making skills.
- Flexibility and adaptability in a dynamic work environment.
Work Environment and Location
This is a full-time position located in Riyadh. The role involves supporting executive management within the CleanLife organization.
