About the Legal Document Controller Role

Alfanar is seeking a Legal Document Controller to join its Legal Department in Riyadh. This full-time position requires 2-5 years of experience and focuses on supporting legal operations through meticulous document management, financial coordination, and administrative support.

Key Responsibilities

  • Review and track preliminary and final invoices from legal service providers.
  • Create and process Purchase Requisitions (PRs) and Purchase Orders (POs), and follow up on their approvals, amendments, closures, and related payments.
  • Coordinate with Finance, Procurement, and service providers on invoice and payment matters.
  • Maintain and update tracking sheets for POs, invoices, payments, and legal requests, monitoring outstanding actions and ensuring timely follow-up.
  • Prepare weekly status reports and follow-up communications, escalating overdue matters when necessary.
  • Maintain electronic and physical records of legal documents, invoices, POs, and payment confirmations, ensuring accuracy, completeness, and accessibility.
  • Archive and organize legal files and supporting documentation.
  • Prepare and submit documents for government attestations, Apostille certifications, embassy legalizations, and Chamber of Commerce approvals, coordinating with internal stakeholders and authorities.
  • Track and maintain records of all submissions and approvals for government attestations.
  • Coordinate with law firms, translation providers, courier companies, and other external parties for the receipt, delivery, and transmission of legal documents.
  • Prepare supporting documentation for legal matters and provide general administrative support to the Legal Department.

Role Performance and Development

In this role, you will be expected to obtain updated soft and technical skills relevant to the job. You will perform planned activities to meet operational and development targets according to delivery schedules, utilizing resources effectively to achieve objectives within efficient cost and time parameters. Periodic reports detailing deviations and execution of planned tasks will be required.

Problem Solving and Quality Assurance

You will be responsible for solving related problems as they arise and escalating any complex operational issues. Ensuring quality requirements is crucial, which includes developing effective quality control processes and specifications for products, processes, or related activities.

Compliance and Process Improvement

Adherence to related policies, procedures, and work instructions is mandatory. You will also coordinate well-defined written systems and policies, and seek opportunities for automation where possible. Compliance with relevant safety, quality, and environmental management procedures and controls within your defined area of work activity is essential to guarantee safety, legislative compliance, and the delivery of high-quality services.

Qualifications and Experience

The ideal candidate will possess 2-5 years of relevant experience. Proficiency in document control, legal documentation processes, and financial coordination is expected. Strong organizational skills and the ability to manage multiple tasks efficiently are essential.
