About the Role

The International Civil Aviation Organization (ICAO) is seeking a National Project Assistant to support the United Nations Development Programme (UNDP) initiatives in Riyadh, Saudi Arabia. This full-time position requires 5-10 years of relevant experience and involves providing essential technical and administrative support for project oversight and implementation within the UNDP framework.

Role Context and Purpose

The United Nations Development Programme (UNDP) supports Saudi Arabia's efforts towards achieving the Sustainable Development Goals (SDGs) and realizing Saudi Vision 2030. This partnership focuses on enhancing local capacity, supporting policy-making, and providing technical assistance to government institutions. The National Project Assistant will work closely with the UNDP Team, contributing to overall project management activities, including planning, coordination, monitoring, and reporting, to support these critical national initiatives.

Key Responsibilities

  • Provide operational and administrative support for project needs, including daily execution of approved work plans and monitoring progress throughout the project cycle.
  • Coordinate information exchange among programme partners and support the organization and conduct of project activities, meetings, seminars, workshops, and conferences.
  • Manage travel and logistics arrangements for the team, ensuring efficient utilization of UNDP resources.
  • Maintain asset management records and prepare related reports.
  • Handle routine correspondence, draft official documents, and prepare meeting minutes, including translation and interpretation between Arabic and English.
  • Support project implementation and procurement activities, including contracting consultants and institutional contracts, in accordance with UNDP workflows.
  • Manage project documentation, maintain proper records of working files and permanent retention files, and ensure compliance with corporate requirements.
  • Assist in project work plan preparation by supporting data collection, systematization, analysis of information, and interaction with relevant institutions.
  • Prepare relevant background materials for discussions, correspondence, and briefing sessions.
  • Contribute to the preparation and implementation of progress reports by providing information and analyzing financial data.
  • Document lessons learned and facilitate the compilation, copying, and distribution of project products.
  • Propose solutions for administrative issues when relevant and undertake other duties as required by UNDP.

Reporting Structure

The National Project Assistant will report directly to the UNDP Project Officer and will consult regularly with the National Project Manager (NPM).

Required Competencies and Experience

  • 5-10 years of relevant professional experience.
  • Demonstrated knowledge and experience working with governmental entities in Saudi Arabia.
