Job Description
About the Role
Ilmi is seeking an experienced Office Manager to provide comprehensive executive and administrative support to the CEO. This full-time position, based in Riyadh, Saudi Arabia, is crucial for ensuring the efficient and seamless operation of the CEO's office. The role involves coordinating engagements with various stakeholders, including the Private Office of ilmi’s Chairwoman, to facilitate effective communication and prioritization while upholding strict confidentiality and organizational governance.
Key Responsibilities
- Serve as the primary point of contact for internal and external stakeholders interacting with the CEO, screening and prioritizing requests to align with strategic objectives.
- Provide extensive executive support, including calendar management, meeting coordination, correspondence handling, travel arrangements, and the preparation of reports and briefing materials.
- Coordinate with department heads and stakeholders to track CEO directives, ensure timely follow-up on action items, and support organizational execution discipline.
- Organize and prepare high-level meetings, including drafting agendas, compiling briefing packs, documenting minutes, and circulating decisions and action points.
- Proactively identify and resolve operational issues within the CEO Office to ensure continuity and efficiency.
- Maintain organized, secure, and confidential records in digital and physical formats, adhering to organizational policies and governance standards.
- Accompany the CEO in meetings and official engagements as required, ensuring accurate documentation and follow-up on key messages.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Management, Public Administration, Organizational Leadership, or a related field.
- A minimum of 7 years of experience in executive office management, senior leadership support, or corporate administration roles.
- Extensive experience supporting C-suite executives, Board members, or high-level stakeholders within complex or fast-paced organizations.
- Proven experience in managing confidential information, coordinating high-level meetings, preparing executive reports, and tracking strategic action plans.
Required Skills
- Strong organizational and prioritization skills.
- Excellent stakeholder management capabilities.
- Effective communication skills, both written and verbal.
Work Environment
This is a full-time position based in Riyadh, Saudi Arabia. The role operates within the CEO's office, requiring a high degree of professionalism and discretion.
