About the Role

TalentHUB is seeking an experienced Office Manager to oversee its Executive Office and serve as the central operational and coordination hub for the organization. This full-time position, based in Riyadh, reports directly to the CEO and encompasses a broad range of responsibilities beyond executive support. The role requires a proactive individual to manage daily office operations, facilitate cross-departmental communication, ensure follow-through on executive decisions, and oversee vendor and facilities management.

Role Scope and Responsibilities

This is a comprehensive coordination and office management role, distinct from secretarial duties. The successful candidate will manage the Executive Office's day-to-day activities, including scheduling, correspondence, meeting preparation, and documentation. A key aspect involves coordinating with department heads to track and finalize executive-level decisions and initiatives. Additionally, the role includes overseeing general office administration, such as vendor relations, supply management, facilities upkeep, and budget monitoring for office-related expenses.

Key Responsibilities

  • Manage the CEO's calendar, appointments, meetings, and travel arrangements.
  • Draft, review, and manage official correspondence, reports, and executive communications.
  • Prepare meeting agendas, record minutes, and track follow-up actions.
  • Organize and maintain executive files, records, and confidential documents with discretion.
  • Prepare presentations, reports, and documents for executive and board meetings.
  • Act as the primary communication link between the CEO's office, internal departments, and external stakeholders.
  • Coordinate inter-departmental activities on behalf of the Executive Office and ensure action items are closed.
  • Track the status of executive decisions and initiatives across teams, reporting progress to the CEO.
  • Oversee the head office's daily operations, including supplies, equipment, facilities, and service providers.
  • Manage vendor relationships, service contracts, and monitor office-related expenses and budgets.
  • Supervise and coordinate administrative staff and support functions as assigned.
  • Organize company events, executive meetings, and official functions.

Qualifications and Experience

  • Proven experience as an Office Manager, Executive Assistant, or in a similar executive support and office management role within a structured organization.
  • Demonstrated experience coordinating across departments and following up on action items to completion, extending beyond personal assistant duties.
  • Experience in general office administration, including vendor management, facilities, supplies, and office budgets.
  • A Bachelor's degree in Business Administration or a related field.
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and multitasking skills, with the ability to manage competing priorities and deadlines effectively.
  • Professional written and verbal communication skills in both Arabic and English.
  • A high level of discretion and the ability to handle confidential information.
  • Must be based in Riyadh or willing to relocate.
  • Experience level required is 5-10 years.
