Job Description

About the Role

Dallah Healthcare is seeking a Secretary to perform administrative secretarial functions for an assigned department. This is a full-time position suitable for candidates with 0-1 years of experience.

Key Responsibilities

  • Screen telephone calls and inquiries, handling them as appropriate.
  • Type memos, letters, and other related correspondence for the department.
  • Manage and process work-related requests from staff, including material requests, vacation leave, and overtime.
  • Organize and attend departmental committee meetings, taking minutes.
  • File documents in sequence and maintain existing filing systems for correspondence using electronic or database methods.
  • File and periodically update personal data for medical staff within the department.
  • Prepare visual aids for presentations, such as continuing medical education programs, symposiums, and internal/external events, using Microsoft PowerPoint and various graphic programs via slide, projector, overhead, and data show as requested.
  • Develop and coordinate the Quality Improvement Program within the area of responsibility.
  • Ensure full awareness and active implementation of departmental policies and procedures, as well as local and international accreditation standards or requirements.
  • Actively participate in indicator development, data collection for the department, and measure the performance of functions, processes, and outcomes.
  • Conduct analysis and interpretation of collected data and information when required.
  • Participate in hospital Safety Management and Risk Management Programs.
  • Actively report incidents in the system and, when needed, participate in incident review and root cause analysis.
  • Perform any other duties within the scope of professional knowledge and skills as directed.

Experience and Qualifications

  • 0-1 years of experience in a secretarial or administrative role.
  • Proficiency in Microsoft PowerPoint and other graphic programs for presentation preparation.
  • Familiarity with electronic or database filing systems.

Required Skills

  • Strong organizational and administrative skills.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and accuracy in documentation.
  • Ability to manage multiple tasks and prioritize effectively.
  • Knowledge of quality improvement principles and accreditation standards is an advantage.
