Job Description

About the Role

Saudi Diesel Equipment Company (SDEC), a leading equipment distributor and industrial equipment solution provider, is seeking an Administrative Assistant. This full-time position is based in Al Khobar, Eastern Province, and is designed to provide essential clerical, organizational, and operational support to ensure smooth daily office activities. The role focuses on streamlining administrative workflows, maintaining accurate records, and supporting team communication.

Key Responsibilities

  • Prepare, format, and review letters, reports, memos, and routine business documentation with high accuracy.
  • Maintain and update electronic filing systems, databases, and digital records, ensuring strict confidentiality.
  • Screen incoming calls, route emails, distribute incoming mail, and handle general inquiries professionally.
  • Assist in scheduling meetings, reserving conference rooms, and sending calendar invites for internal and external stakeholders.
  • Welcome visitors, coordinate security passes, and provide basic guidance upon arrival.
  • Monitor office stationery and supply levels, placing replenishment orders as needed.
  • Support the planning and execution of internal workshops, team events, and training sessions.

Work Relationships

This role involves frequent internal collaboration with department managers, administrative peers, HR, IT support, and cross-functional teams. External interactions include professional engagement with vendors, office suppliers, visitors, and external clients/service providers.

Health, Safety & Environment (HSE) Responsibilities

  • Adhere to all company Quality, Health, Safety, and Environmental (QHSE) policies, procedures, and legal requirements.
  • Promptly identify and report unsafe conditions, incidents, and near misses to the appropriate supervisor or QHSE team.
  • Properly use, maintain, and store personal protective equipment (PPE) and safety tools as required.
  • Attend and actively participate in mandatory Safety inductions, HSE trainings, safety meetings, emergency drills, and root cause investigations.
  • Follow established emergency response procedures, including evacuation plans, fire response, and first aid if trained.
  • Follow protocols to minimize environmental impact, including proper waste disposal and reporting spills or leaks.
  • Provide suggestions to enhance Quality, Health, Safety, and Environmental procedures and take responsibility for continual improvement.

Qualifications and Experience

  • 0-1 year of experience working as an Administrative Assistant.
