About the Executive Secretary Role
KAFAAT Recruitment is seeking an Executive Secretary to provide high-level administrative and organizational support to senior executives. This full-time position is based in Dammam, Eastern Province. The role is crucial for ensuring the efficient day-to-day operations by managing schedules, communications, documentation, and confidential information, while serving as a key liaison between executives, internal teams, and external stakeholders.
Core Responsibilities
The Executive Secretary will be responsible for a range of administrative and organizational duties to support senior management. Key tasks include:
- Managing executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Preparing, reviewing, and formatting correspondence, reports, presentations, and official documents.
- Handling incoming and outgoing communications, such as emails, phone calls, and managing visitor interactions.
- Maintaining accurate physical and digital filing systems, ensuring the confidentiality of all documents.
- Coordinating meetings, including preparing agendas, taking minutes, and following up on action items.
- Serving as a primary point of contact between executives and internal or external parties.
- Providing administrative support to executives to optimize their time and productivity.
- Monitoring deadlines and ensuring the timely completion of assigned tasks.
- Assisting in the organization of events, conferences, and business trips.
- Performing other administrative duties as assigned by management.
Required Qualifications
Candidates for this position should possess the following qualifications:
- A Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
- A minimum of 3 to 5 years of experience in an Executive Secretary role or a similar administrative position.
Essential Skills and Attributes
Successful candidates will demonstrate the following skills and attributes:
- Strong organizational, multitasking, and time-management abilities.
- A high level of professionalism and discretion in handling confidential information.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

Work Environment and Location
This is a full-time position located in Dammam, Eastern Province. The role involves providing direct support to senior executives within a professional office environment.
