About the Executive Secretary Role

KAFAAT Recruitment is seeking an Executive Secretary to provide high-level administrative and organizational support to senior executives. This full-time position is based in Dammam, Eastern Province. The role is crucial for ensuring the efficient day-to-day operations by managing schedules, communications, documentation, and confidential information, while serving as a key liaison between executives, internal teams, and external stakeholders.

Core Responsibilities

The Executive Secretary will be responsible for a range of administrative and organizational duties to support senior management. Key tasks include:

  • Managing executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Preparing, reviewing, and formatting correspondence, reports, presentations, and official documents.
  • Handling incoming and outgoing communications, such as emails, phone calls, and managing visitor interactions.
  • Maintaining accurate physical and digital filing systems, ensuring the confidentiality of all documents.
  • Coordinating meetings, including preparing agendas, taking minutes, and following up on action items.
  • Serving as a primary point of contact between executives and internal or external parties.
  • Providing administrative support to executives to optimize their time and productivity.
  • Monitoring deadlines and ensuring the timely completion of assigned tasks.
  • Assisting in the organization of events, conferences, and business trips.
  • Performing other administrative duties as assigned by management.

Required Qualifications

Candidates for this position should possess the following qualifications:

  • A Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
  • A minimum of 3 to 5 years of experience in an Executive Secretary role or a similar administrative position.
