Join Qiyam as an Executive Assistant!

At Qiyam, a consulting and investment solutions company specialized in enhancing the Pilgrim Services sector, we are seeking a creative and experienced Executive Assistant. This role will support executive leadership and ensure the smooth and efficient operation of daily tasks and strategic initiatives.

Key Responsibilities:
  • Research & Analytical Support:
    • Conduct targeted research on administrative, operational, developmental, and sector-specific topics relevant to the Pilgrim Services ecosystem.
    • Analyze reports, studies, and stakeholder documents and extract key insights for executive decision-making.
    • Prepare bilingual executive briefs supporting strategic projects and partnerships.
    • Gather information from government entities, sector reports, consulting references, and competitors relevant to Qiyam’s service offerings.
  • Content & Document Development:
    • Develop high-quality PowerPoint presentations aligned with Qiyam’s brand, values, and consulting standards.
    • Prepare structured documents, policies, procedures, and frameworks supporting strategic and operational initiatives.
    • Edit, proofread, and refine content to ensure clarity, professionalism, and alignment with Qiyam’s methodologies.
    • Provide accurate Arabic-English translation for documents, proposals, and communications.
  • Information & Communication Management:
    • Consolidate input from internal teams to create weekly, monthly, and project-specific reports.
    • Draft official emails and communications in Arabic and English with a professional and culturally aligned tone.
    • Prepare briefing notes for executive meetings with partners, government entities, and strategic stakeholders.
    • Manage the executive calendar with clear prioritization that reflects the company’s strategic commitments.
  • Project & Initiative Support:
    • Follow up on action items across consulting projects, investment initiatives, and partnership programs.
    • Maintain action logs, trackers, and project dashboards to support timely execution.
    • Support the CEO and leadership team in preparing strategic documents relating to customer experience, investment opportunities, and sector development.
    • Organize and safeguard sensitive files related to national projects, stakeholder engagements, and executive planning.
  • Executive Operations & Coordination:
    • Coordinate meetings, workshops, and engagements with internal teams and strategic partners across the Pilgrim Services ecosystem.
    • Manage travel logistics and executive scheduling efficiently.
    • Represent the company professionally when receiving high-profile guests and delegations.
    • Respond to urgent matters with professionalism, judgment, and initiative.

Required Skills & Competencies:
  • Strong analytical skills and the ability to identify relevant insights.
  • Excellent command of Arabic and English, with professional writing, reporting, and translation abilities.
  • Advanced proficiency in Microsoft Office and strong file organization skills.
  • High professionalism, confidentiality, and reliability.

Qualifications:
- Bachelor’s degree in business administration or a related field.
- 3 – 5 years of experience as an Executive Assistant or in a similar role.
