Hotel Reservations and Contracts Officer

Job Summary

We are looking for a Hotel Reservations and Contracts Officer to manage hotel pricing, respond to hotel inquiries from clients, confirm hotel bookings, and support hotel contracting activities.

The position is full-time from the office and requires continuous coordination with hotels and sales, pricing, and operations teams to ensure prompt response and accuracy of execution.

Proficiency in English, both spoken and written, is a prerequisite.

Main Tasks and Responsibilities

1) Hotel pricing and responding to customer requests:
- Receiving hotel requests from customers or sales teams.
- Preparing hotel quotations accurately and quickly.
- Responding to inquiries about availability, prices, and alternative hotels.
- Following up on offers until confirmation or cancellation.

2) Managing reservations and confirmations:
- Confirming hotel bookings according to approved programs.
- Managing modifications, cancellations, and non-refundable policies.
- Ensuring accuracy of check-in and check-out dates, room types, and number of nights.

3) Supporting hotel contracts:
- Assisting management in updating prices and hotel contracts.
- Following up on availability and allocations with hotels.
- Maintaining and organizing hotel contract files.

4) Internal coordination:
- Coordinating with sales, pricing, and operations teams.
- Delivering confirmed bookings to the operations team on time.

5) Managing relationships with hotels:
- Daily communication with hotel reservations and sales departments.
- Resolving issues related to availability, prices, or bookings.
- Maintaining strong professional relationships with hotel partners.

6) Reporting and follow-up:
- Preparing basic reports on bookings and prices as needed.
- Complying with company-approved pricing and booking policies.

Work System

- Full-time from the office.
- The role does not include remote work.
- Requires flexibility in working hours during peak seasons.

Travel and Field Inspections

- The job may require travel to other cities within the Kingdom.
- Conducting field visits (Site Inspections) to new hotels or potential partners.
- Travel is coordinated in advance and approved by management.

Qualifications and Required Experience

- A university degree in tourism, hotel management, business administration, or a related field.
- 2 to 4 years of experience in hotel reservations, pricing, or contracting.
- Previous experience in a DMC or tour operator is preferred.
- Proficiency in English is a prerequisite.

Required Skills
