About the Role

Hire Fellows is seeking a skilled and organized Procurement & Inventory Officer to join a fast-growing operations team. This full-time role is based in Makkah, specifically covering Jeddah and Makkah, and requires 2-5 years of relevant experience. The officer will be responsible for ensuring satellite kitchens have necessary ingredients, packaging, and consumables available promptly, while also managing stock levels, controlling procurement costs, and supporting daily kitchen operations.

Role Context and Scope

This position holds sole ownership for purchasing, inventory control, and kitchen administration at assigned satellite kitchens. The Procurement & Inventory Officer will collaborate with suppliers, the Kitchen Manager, and the Packing & Dispatch team to ensure consistent supply availability for daily production and order fulfillment, aiming to minimize stock discrepancies, waste, and unnecessary costs.

Key Responsibilities

• Source, negotiate, and place purchase orders with approved suppliers for ingredients, packaging, and consumables.
• Maintain daily relationships with suppliers, following up on orders, deliveries, quality concerns, and shortages.
• Track procurement spend against budget and identify cost variances or unusual purchasing patterns.
• Ensure daily stock accuracy through regular counts and reconciliation against system records.
• Set, maintain, and monitor appropriate par levels based on production and order requirements.
• Apply FIFO (First-In, First-Out) discipline across perishable and dry stock to minimize waste and spoilage.
• Oversee daily order intake, production flow, and delivery coordination with the kitchen team.
• Maintain kitchen administrative records, including goods received notes, supplier invoices, and stock logs.
• Coordinate with Packing & Dispatch to align supply availability with the daily order pipeline.
• Maintain a clean, organized, and efficient stock and administrative environment.

Qualifications and Experience

• 3-4 years of experience in procurement, inventory management, purchasing, or kitchen administration.
• Previous experience in food production, hospitality, restaurants, or a similar fast-paced operational environment is preferred.
• Hands-on experience with supplier management, purchasing, and purchase order processes.
• Proficiency in negotiating with suppliers and following up on pricing, availability, quality, and delivery timelines.
• Strong inventory management skills, including stock counting, reconciliation, replenishment, and FIFO practices.
• Strong organizational skills with attention to detail and accuracy.
• Comfortable working with inventory management systems, spreadsheets, or similar administrative tools.
• Basic understanding of procurement budgets, cost tracking, and identifying cost variances.
• Ability to anticipate stock requirements and proactively manage replenishment needs.
• Strong communication and coordination skills with internal teams and external suppliers.
• Ability to maintain accurate records and ensure timely completion of administrative tasks.

Work Environment

This is a full-time position within a fast-growing company, requiring presence in Makkah, with operations spanning Jeddah and Makkah. The role involves working closely with kitchen and dispatch teams in an operational setting.
