Job Description

About the Executive Secretary Role

Rotana Hotels is seeking a dedicated Executive Secretary to provide comprehensive administrative and secretarial support to the General Manager in Makkah. This full-time position requires an individual with strong communication skills and a commitment to delivering high service standards.

Key Responsibilities

  • Ensure all outgoing correspondence is accurately typed, proofread, and dispatched to a high standard.
  • Compose and prepare routine correspondence, and provide simple interpretations of documents or correspondence upon request.
  • Review and prioritize incoming mail before forwarding it to the General Manager.
  • Action routine standardized correspondence and inform the General Manager of actions taken.
  • Maintain an updated calendar to manage appointment and meeting schedules effectively.
  • Establish and maintain filing systems, records, and databases of business contacts, and follow up on pending items.
  • Draft letters on behalf of the General Manager.
  • Attend meetings, record minutes, distribute them, and follow up on assigned action items.
  • Organize travel arrangements and external business trips for the General Manager.

Qualifications and Experience

  • A college diploma in secretarial training is required.
  • Relevant previous experience in a secretarial role is necessary.
  • Fluency in both written and spoken English is essential.

Required Skills and Competencies

  • Ability to take accurate notes during meetings to prepare event records.
  • Computer literacy and proficient typing skills are highly regarded.
  • A courteous demeanor, ability to work with minimal supervision, and discretion in handling confidential matters.
  • Proactive and observant with an approachable character.
  • Capacity to perform effectively under pressure in a fast-paced environment.
  • Strong teamwork skills with a focus on quality.
  • Understanding of hotel operations.
  • Adaptability, customer focus, and drive for results.
  • Effective communication, planning, and supervisory abilities.

Work Environment

This is a full-time position based in Makkah, Makkah Province. The role involves supporting the General Manager and requires working effectively within a dynamic hotel environment.
