About the Fleet & Office Services Specialist Role

KONE is seeking a Fleet & Office Services Specialist to join its team in Riyadh. This full-time position focuses on the operational management of the company's leased vehicle fleet and office services, ensuring efficiency and smooth day-to-day operations. The role requires a proactive individual who can coordinate effectively with internal departments and external suppliers to maintain high standards of service delivery.

Fleet Management Responsibilities

The Fleet & Office Services Specialist will oversee daily fleet operations, including managing vehicle requests, processing quotations, coordinating orders, deliveries, and vehicle handovers, as well as managing returns and contract renewals. Key duties include administering fleet documentation, vehicle allocations, and driver authorizations. The role involves liaising with leasing companies on matters such as accidents and replacements, managing fuel card administration, and monitoring fuel-related activities. Additionally, the specialist will review fleet invoices, resolve discrepancies with Finance and suppliers, and prepare comprehensive fleet reports covering vehicle status, contract expiries, utilization, and operational costs. Support for fleet sourcing activities and maintaining relationships with approved suppliers are also integral to this function, ensuring all fleet operations adhere to company policies.

Office Services Support

This role also encompasses supporting the sourcing and administration of various office service contracts, such as cleaning, security, maintenance, pest control, hospitality, and office furniture. The specialist will manage corporate mobile communication services, including SIM card administration and service requests, acting as a liaison with telecom service providers. Coordination with suppliers to ensure timely service delivery, support for contract follow-up, and supplier performance reviews are essential. The position may also involve assisting with accommodation-related activities and supporting general office operational requests by coordinating with internal stakeholders for efficient service delivery.

General Operational Support

Collaboration with Procurement, Finance, HR, and other relevant stakeholders is crucial for supporting operational activities. The Fleet & Office Services Specialist will be responsible for maintaining accurate operational records and documentation. Identifying opportunities for operational improvements and supporting cost optimization initiatives are also key aspects of the role, alongside performing other related duties as assigned by the line manager.

Qualifications and Experience

Candidates should possess a Bachelor's degree in Business Administration or a related field. The role requires 2-5 years of experience in fleet management, administration, or facilities management. Strong problem-solving and analytical skills are necessary, along with proficiency in Microsoft Office, particularly Excel. Excellent communication and coordination skills, including strong follow-up abilities, are essential. Fluency in both English and Arabic is required for effective communication.
