About the Role

KONE is seeking a Fleet & Office Services Specialist to support the daily management of the company's leased vehicle fleet and office services in Riyadh. This full-time position is responsible for ensuring efficient fleet operations, coordinating with suppliers, and assisting with office service contracts and operational requirements. The role requires 2-5 years of relevant experience.

Fleet Operations Management

The Fleet & Office Services Specialist will manage the day-to-day operations of the company's vehicle fleet. This includes coordinating vehicle requests, obtaining quotations, processing orders, managing deliveries and handovers, and overseeing vehicle returns and contract renewals. The role also involves administering fleet documentation, vehicle allocations, and driver authorizations. Coordination with leasing companies for accident management, replacements, and other operational matters is essential. Furthermore, the specialist will manage fuel card administration, monitor fuel-related activities, and review fleet invoices, resolving any discrepancies with Finance and suppliers.

Fleet Reporting and Supplier Relations

Preparation of comprehensive fleet reports covering vehicle status, contract expiries, utilization, and operational costs is a key responsibility. The specialist will also support sourcing activities for fleet requirements and maintain effective relationships with approved suppliers. Ensuring that all fleet operations comply with company policies and procedures is paramount.

Office Services Support

This role includes supporting the sourcing and administration of various office service contracts, such as cleaning, security, maintenance, pest control, hospitality, and office furniture. Coordination of corporate mobile communication services, including SIM card administration and liaison with telecom providers, is also part of the responsibilities. The specialist will ensure timely delivery of agreed services by coordinating with suppliers and will support contract follow-up and supplier performance reviews. Assistance with accommodation-related activities and general office operational requests, ensuring efficient service delivery through coordination with internal stakeholders, will also be required.

General Responsibilities and Collaboration

The Fleet & Office Services Specialist will collaborate with Procurement, Finance, HR, and other stakeholders to support operational activities. Maintaining accurate operational records and documentation is crucial. The role involves identifying opportunities for operational improvements and supporting cost optimization initiatives. Other related duties as assigned by the line manager will also be performed.

Qualifications and Skills

Candidates should possess a Bachelor's degree in Business Administration or a related field. A minimum of 2-5 years of experience in fleet management, administration, or facilities management is required. Essential skills include excellent communication, coordination, and follow-up abilities, along with strong problem-solving and analytical capabilities. Proficiency in Microsoft Office, particularly Excel, is necessary. Excellent English and Arabic communication skills are also a requirement for this role.
