About the Executive Assistant Role
Bureau Veritas is seeking a dedicated Executive Assistant to provide high-level administrative and executive support. This full-time position is based in Al Khobar, Eastern Province, and requires 2-5 years of experience. The role operates in alignment with the Bureau Veritas Quality Assurance System, including the BV Code of Ethics and BV Group policy.
Role Overview and Responsibilities
The Executive Assistant will manage schedules, coordinate meetings, handle confidential documentation, and ensure the efficient execution of daily executive activities and business priorities for the Vice President. This role is crucial in supporting the VP's operational effectiveness and strategic objectives.
- Provide comprehensive administrative and executive support to the Vice President.
- Manage the VP’s calendar, appointments, meetings, and travel arrangements.
- Coordinate internal and external meetings, including preparing agendas, presentations, meeting materials, and taking minutes.
- Screen and prioritize emails, phone calls, and correspondence on behalf of the VP.
- Prepare reports, presentations, letters, and official documents.
- Ensure timely preparation, tracking, and submission of documents requiring the VP’s review or signature.
- Coordinate follow-up actions from meetings and ensure timely completion of assigned tasks.
- Arrange business travel, accommodation, transportation, and manage expense documentation.
- Maintain confidential records, files, and sensitive information with the highest level of discretion.
- Liaise with internal departments and external stakeholders on behalf of the VP.
- Organize executive visits, events, and business meetings.
- Monitor deadlines and remind the VP of important commitments and deliverables.
- Support special projects and perform other administrative duties as assigned.
Qualifications and Experience
Candidates should possess the following qualifications and experience:
- Bachelor’s/Diploma Degree in Business Administration or an equivalent qualification.
- 3–5 years of experience as an Executive Assistant or Personal Assistant supporting senior management or executives.
