A high-growth, VC-backed construction technology company in Saudi Arabia is seeking an exceptional Executive Assistant to partner directly with the CEO.

🚀 The Opportunity
You will own the CEO’s:
  • Calendar strategy & time optimisation
  • Information flow & communications triage
  • Decision-readiness & executive briefing
  • Travel, events & stakeholder engagement
  • Core executive operations (OKRs, board materials, vendor & expense hygiene)

🔑 Key Responsibilities
Executive Priorities & Calendar Leadership
  • Maintain a rolling 6-week forward calendar
  • Run weekly priority reviews with the CEO
  • Protect time allocation and eliminate non-essential commitments

Information & Communications Triage
  • Route inbound communications within 2 business hours
  • Draft executive-level correspondence
  • Maintain structured decision logs and follow-up trackers

Meeting Excellence
  • Produce 1-page, decision-ready briefs 48 hours in advance
  • Drive action item accountability (>95% closure target)
  • Coordinate post-meeting stakeholder communications

Executive Operations
  • Maintain OKR hygiene and quarterly review processes
  • Prepare board packs and executive reporting materials
  • Support vendor onboarding, expense governance and light project tracking

Travel & Stakeholder Engagement
  • End-to-end travel planning with zero operational lapses
  • Conference stakeholder mapping and strategic networking schedules
  • Interface with clients, contractors and government entities

Physical Working Conditions:

Qualifications:
  • Bachelor’s degree in Logistics, Supply Chain, Business Administration, or related field.
  • 8-12 years of experience in fleet management or transportation operations; 15 years for diploma holders.
  • Preferred experience in oil & gas, drilling, or heavy equipment operations.
Skills:
Proficiency in fleet management systems, MS Office, and budgeting is essential.
