Role Overview

Umq Design is seeking a highly organized and proactive Document Controller & Project Assistant to support its Interior Design team in Riyadh. This full-time role combines essential document management, administrative support, and project coordination functions.

Position Purpose

The primary purpose of this position is to ensure the smooth execution of interior design projects from concept through completion. The role requires an individual with a background in Interior Design or Construction to effectively understand design drawings, specifications, materials, finishes, and construction terminology.

Key Responsibilities

  • Maintain, organize, and update all project documentation, including drawings, specifications, BOQs, material schedules, submittals, RFIs, and project correspondence.
  • Ensure all documents are correctly filed, version-controlled, distributed to appropriate team members, and comply with company standards.
  • Track revisions, maintain accurate document registers, and manage digital and physical filing systems.
  • Assist interior designers with daily administrative and project coordination tasks, including preparing presentation packages, material boards, finish schedules, and project reports.
  • Coordinate meetings, record meeting minutes, and follow up on action items and project deadlines.
  • Support procurement activities by organizing quotations, material samples, and supplier information.
  • Visit suppliers, showrooms, contractors, and project sites as required to collect and deliver drawings, samples, documents, and materials.
  • Coordinate with vendors, consultants, contractors, and clients regarding documentation and deliveries, tracking sample approvals and material movement.
  • Understand and identify interior finishes, furniture, lighting, fabrics, flooring, stone, wood, metals, and other construction materials.
  • Review material submittals for completeness before designer review and assist in maintaining the material library and sample inventory.
  • Support designers in sourcing products and coordinating sample requests.

Candidate Profile

The ideal candidate is highly organized and possesses a strong understanding of interior design principles and terminology. This role requires an individual capable of recognizing materials, understanding design intent, coordinating effectively with project stakeholders, and providing practical support throughout the project lifecycle.

Qualifications and Experience

  • A minimum of 10 years of relevant experience.
  • Background in Interior Design or Construction is essential.
  • An Interior Design graduate or professional is strongly preferred.
  • Demonstrated ability to understand design drawings, specifications, materials, finishes, and construction terminology.
  • Proven experience in interior fit-out or construction is highly valued.
