About the Role
Gentelle KSA is seeking a proactive and organized Project Specialist to join their team in Makkah, specifically supporting business development initiatives. This full-time position involves coordinating awarded projects and customer orders from handover through successful completion, ensuring efficient execution and client satisfaction. The role is crucial in enabling the Assistant Manager – Business Development to focus on strategic growth activities.
Role Context and Responsibilities
The Project Specialist acts as a central coordination point, liaising between customers, suppliers, procurement, logistics, operations, finance, and installation teams. This ensures seamless project delivery and professional customer communication. Key responsibilities include:
- Coordinating projects from handover to final completion.
- Liaising with Procurement, Operations, Logistics, Finance, and Installation Teams.
- Following up on quotations, orders, deliveries, installations, approvals, and project documentation.
- Maintaining project management systems, including CRM, Basecamp, Dropbox, and project trackers.
- Preparing weekly project status updates and management reports.
- Supporting customer communication, issue resolution, project handover, and closure processes.
Qualifications and Experience
Candidates should possess the following qualifications:
- A Bachelor’s degree in Business Administration, Project Management, Supply Chain Management, Operations Management, Engineering, or a related discipline.
- 3–5 years of experience in project coordination, commercial operations, procurement support, supply chain coordination, or customer service.
- Experience in Flooring, Interior Solutions, FF&E, Hospitality Projects, Construction Materials, or Fit-Out industries is considered an advantage.
Required Skills and Competencies
Successful candidates will demonstrate:
- Strong organizational and coordination abilities.
- Excellent communication and follow-up discipline.
- A customer-focused and solution-oriented mindset.
- Proficiency in Microsoft Excel, Outlook, PowerPoint, ERP systems, and reporting tools.
- The capacity to manage multiple projects concurrently.
