About the Guest Management Lead Role

This contract position is for a Guest Management Lead based in Riyadh. The role involves overseeing the comprehensive guest experience for high-profile international events, conferences, summits, forums, and government engagements. The successful candidate will be responsible for the planning and execution of seamless guest operations.

Key Responsibilities

The Guest Management Lead will manage the end-to-end guest experience strategy and its implementation across all event phases. This includes handling guest invitations, tracking RSVPs, managing accreditation and registration processes, and overseeing attendee communications. A significant part of the role involves planning and executing protocol services for ministers, government officials, diplomats, VIPs, and international delegations. Responsibilities also extend to coordinating airport arrivals and departures, meet-and-greet services, facilitating immigration where applicable, and arranging transportation, accommodation, and hospitality. The lead will develop detailed guest journey plans and operational procedures to ensure a smooth participant experience, liaising with protocol offices, government authorities, hotels, transport providers, venues, security teams, and other event stakeholders. Management of VIP lounges, hospitality areas, executive holding rooms, and on-site guest services is also required. The role includes preparing essential documentation such as guest manifests, seating plans, movement schedules, briefing documents, and protocol notes. Furthermore, the Guest Management Lead will supervise guest management teams, registration staff, volunteers, and hospitality personnel, ensuring prompt and professional resolution of guest issues while maintaining compliance with event protocols, security requirements, and service standards. Post-event, the lead will produce reports and operational reviews with recommendations for improvement.

Qualifications and Experience

Candidates should possess a Bachelor's degree in Event Management, Hospitality Management, Tourism, Business Administration, or a related field. A minimum of 7-10 years of experience in guest management, protocol, hospitality, or event operations is required. Demonstrated experience in delivering international conferences, summits, forums, exhibitions, or government events is essential. Proven experience managing VIPs, ministers, senior government officials, diplomats, C-suite executives, and international delegations is necessary. A strong understanding of government protocol, diplomatic etiquette, and executive hospitality is expected. Experience managing large-scale guest registration systems and accreditation processes is also a requirement. Proficiency with event registration and guest management platforms is preferred.

Required Skills and Attributes

The role demands excellent stakeholder management, communication, and organizational skills. The ability to manage multiple priorities effectively within a fast-paced event environment is crucial. Candidates must be willing to travel and work flexible hours during event delivery periods.
