About the Role

White & Case LLP is seeking an Office Services Assistant to join their team in Riyadh. This full-time, in-office position supports the smooth day-to-day operation of the office by delivering high-quality office services, facilities support, and administrative assistance. The role is key to maintaining a professional workplace experience and supporting operational excellence for lawyers, business services teams, and visitors.

Office Services and Facilities Support

The Office Services Assistant will ensure the office environment is efficient and well-maintained. Key responsibilities include:

  • Supporting daily office operations, ensuring meeting rooms, common areas, and workspaces are kept in good condition.
  • Monitoring office supplies, stationery, pantry items, and consumables, assisting with stock control and replenishment.
  • Handling facilities-related requests, addressing minor issues, and following up with contractors or building management.
  • Assisting with office moves, seating changes, and internal reconfigurations as needed.
  • Supporting the onboarding process for new employees.

Logistics and Vendor Coordination

This role involves managing mail, deliveries, and coordinating with external service providers.

  • Coordinating outgoing shipments and courier bookings.
  • Assisting with the daily coordination of vendors, including cleaning, maintenance, and courier services.
  • Monitoring vendor service delivery standards and escalating issues to the Office Operations Manager.
  • Supporting contractor access, landlord maintenance, and supervision as required.

Health, Safety, and Administrative Support

The position contributes to maintaining a safe and compliant office environment and provides general administrative assistance.

  • Supporting adherence to health and safety procedures and office policies.
  • Assisting with maintaining records related to facilities, maintenance, and inspections.
  • Promptly escalating safety concerns, incidents, or hazards.
  • Supporting office events, internal meetings, and firm initiatives.
  • Providing ad-hoc support to other business services teams when necessary.

Qualifications and Skills

The ideal candidate will possess the following qualifications and skills:

  • Experience in an Office Services Assistant role or equivalent is desirable.
  • Strong organizational and time-management skills.
  • High attention to detail and accuracy.

Work Environment and Reporting

This is a full-time, in-office role based in Riyadh, operating from Sunday to Thursday with standard working hours of 9 am to 6 pm. The Office Services Assistant reports to the Office Operations Manager-Riyadh.
